Duties
- Complete monthly bank reconciliations for all company accounts, ensuring accuracy and timely resolution of discrepancies.
- Process all payments for all three companies, including vendor payments, recurring obligations, and other approved disbursements.
- Balance and process payroll withdrawals for miscellaneous deductions.
- Reconcile and file 401(k) payroll deductions accurately and on schedule.
- Prepare and post day-to-day journal entries to maintain accurate general ledger records.
- Process credit card payments to vendors and ensure related records are properly documented.
- Prepare end-of-quarter transfers and related journal entries.
- Submit all trial balances and related materials to the accountants at the end of each quarter for balancing and review.
- Maintain organized and accurate financial records, supporting documentation, and accounting files.
- Assist with resolving account discrepancies, researching transactions, and providing information to management or accountants as needed.
Skills
- Previous bookkeeping, accounting assistant, or related financial recordkeeping experience preferred.
- Strong understanding of general accounting principles, bank reconciliations, journal entries, and payment processing.
- Experience with payroll deductions, retirement plan contribution tracking, and quarterly accounting close activities preferred.
- Proficiency with accounting software and Microsoft Excel or similar spreadsheet tools.
- High level of accuracy, organization, confidentiality, and attention to detail.
- Ability to manage multiple company accounts and deadlines in a timely and professional manner.
- Strong communication skills and the ability to work effectively with management, vendors, payroll providers, and accountants.
