Position Summary
The Administrative Assistant provides critical support to the management team by ensuring smooth day-to-day operations of the office and assisting with caregiver coordination, client documentation, and compliance requirements. This role requires strong attention to detail, excellent communication skills, and the ability to handle sensitive information with professionalism and discretion.
Key Responsibilities
- Greeting people as they come into the office
- Setting up new hire rooms/computers on day of a new hire.
- Provide administrative and clerical support to management and field staff.

- Filing and organizing documents (paper or electronic)
- Typing letters, forms, or reports
- Scheduling meetings or appointments
- Managing mail and email correspondence
- Data entry or updating records
- Making copies, scanning, and faxing
- Maintaining office supplies - or office supply list
- Maintain accurate client and employee records in accordance with agency and state regulations.
- Schedule caregiver shifts and assist with timekeeping or payroll documentation.
- Support compliance by tracking certifications, renewals, and required forms.
- Prepare correspondence, reports, and meeting materials as needed.
- Maintain organized filing systems (electronic and paper).
- Assist with audits, reports, and quality assurance projects.
- Greet visitors and promote a welcoming, professional office environment.
Qualifications
- High school diploma or equivalent
- Minimum of 1–2 years of administrative or office experience (home healthcare, SLS, or home care preferred).
- Proficient in Microsoft Office Suite (Word, Canva, Outlook, QSP) and general computer skills.
- Excellent written and verbal communication skills.
- Strong organizational and time-management abilities.
- Ability to handle confidential information responsibly.
- Friendly, professional demeanor and ability to work both independently and as part of a team.
Preferred Skills
- Experience with home care management software (e.g., ClearCare/Wellsky, QSP, E-billing or similar) (helpful).
- Knowledge of Regional Center, or private pay documentation procedures (helpful).
- Bilingual in English and Spanish a plus.
Schedule & Compensation
- Monday – Friday schedule (flexibility required).
- Competitive hourly rate based on experience.
