Job Summary

The Document Center (DC) Admin will be responsible for establishing and maintaining a robust, centralized document management system to ensure the integrity, accuracy, version control, security, and traceability of all controlled documents throughout the organization.

Its primary purpose is to govern the entire lifecycle of documents—from creation and review through approval, distribution, storage, and eventual archiving or obsolescence—in compliance with internal quality management systems and external regulatory requirements.

Main Responsibilities

DC environment control, including 7S of DC. Create the Work Instruction of DC

Record and Numbering archived documents and newly archived documents.

  • Update document versions and record all change histories to ensure traceability of changes.

Review Documents And Track The Approval Process

  • Manage the document review, approval, and circulation process, ensuring all relevant parties (e.g., PE, CS quality, operations, etc.) complete their reviews within the specified timeframe.
  • Track approval status and remind relevant personnel to prevent delays in the process.

Review the readability and correctness of the Archiving documents

  • Manage QMS documents and record documents (e.g., inspection reports, DHR, data), ensuring they are properly completed.

Release And Distribution The Document

  • Upon formal approval, release the document as "controlled."
  • Accurately distribute the latest version of the document to all departments, teams, or individuals who need it, and ensure outdated versions are promptly retrieved.

Tool And Equipment Management

  • Assign tool and equipment ID, monitor which tools are valid and invalid. Remind the user about tool status.
  • Maintaining Tools and Equipment List and put appropriate status label on the tool
  • Archive the calibration reports or the maintenance record.

Note: Other duties as assigned.

Requirements

Requirements:

  • A college degree and 1~2 years work experience is a plus; equivalent work experience will be considered.
  • Familiar with Good Documentation Practice
  • Familiar with ISO13485 (preferred), ISO9001
  • Basic knowledge in GMP.

  • Work proactively and have a strong sense of responsibility.
  • Communication Skills: Ability to effectively communicate procedures and reminders to document owners and users across the organization.
  • Attention to Detail: Meticulous accuracy in handling document numbers, revision levels, and distribution lists is non-negotiable.
  • Organizational Skills: Strong ability to manage multiple documents and processes simultaneously without error.

Magnetic Environment Exposure

This position requires working in an environment where strong magnetic fields may be present. Employees may be exposed to powerful magnets, electromagnetic equipment, or other devices that generate magnetic fields.

Risk To Ferrous Metals In The Body

Due to the nature of the magnetic environment, employees must not wear or carry ferrous metals on their person while in the designated work area. This includes, but is not limited to, metal objects such as steel, iron, and other ferrous materials. Additionally, employees with implants, medical devices, or foreign objects containing ferrous metals within their body (e.g., certain surgical implants, pacemakers, or metal pins) may be at risk and must disclose any such conditions to their supervisor prior to starting work.
