Role Description We're hiring an Inventory Control & Administrative Specialist to own the day-to-day of our PPE and training operation: inventory control, purchasing, certification cards, and the QuickBooks side of the business. Day to day, that means keeping inventory accurate in our system, setting reorder points and flagging restocks, placing and tracking purchase orders with vendors, and running the inventory software. It also covers producing certification cards within a 5 to 7 business day turnaround target, generating estimates and reporting them to AP to trigger client invoices, and managing products, services, and pricing in QuickBooks.
This is a core role: the operational engine behind our PPE business. Our outside sales team can only perform at full capacity when the inventory, purchasing, and fulfillment behind them run like clockwork, and that's what you own. The role starts at part-time hours. As PPE sales grow, we expect the hours and the mandate to grow with them, though the timing and the extent of any increase depend on business volume and are decided by UFSS.
Qualifications
- QuickBooks experience and a solid grasp of inventory/accounting software concepts: comfortable managing products/services, estimates, and pricing. (Our platform may change over time, so transferable skill matters more than any one tool.)
- Strong attention to detail and data accuracy; able to own records and a billing accountability loop with minimal oversight.
- Organized, detail-driven, and dependable: able to own a process with minimal oversight.
- Comfortable working in a growing small company where processes are still being built.
- Able to perform the hands-on work required during periodic physical inventory counts, with or without reasonable accommodation.
- A valid driver’s license and a motor vehicle record acceptable to our automobile insurance carrier. This role occasionally drives on company business.
Preferred
- Prior inventory control, purchasing, or bookkeeping/AR experience.
- Exposure to construction, PPE, or safety-equipment products.
- Hands-on experience managing a dedicated inventory or supply-chain system (Cin7, Fishbowl, inFlow, or similar): strongly encouraged.
Physical Requirements
Frequent computer and keyboard work. Frequent standing, walking, bending, reaching, and stooping during inventory counts and order fulfillment. Occasional use of step ladders to reach shelving. Lifting and carrying up to 50 pounds occasionally and up to 25 pounds frequently. Work is performed in office space and adjacent warehouse space; warehouse areas are not climate controlled.
