Job Responsibilities:
Accounts Payable:
- Process vendor invoices with accuracy and timeliness.
- Maintain and update vendor records.
- Match invoices to purchase orders and resolve discrepancies.
- Reconcile vendor statements and clear outstanding balances.
- Prepare payment requests (checks, electronic transfers, online payments).
- Respond to vendor inquiries and resolve payment issues.
- Assist in month-end and year-end closing activities.
- Ensure compliance with accounting standards and legal requirements.
- Maintain organized filing systems for accounts payable documents.
- Assist in preparing financial reports and analysis.
- Contribute to process improvement in accounts payable.
- Collaborate with colleagues and departments to ensure smooth operations.
General Office Assistance:
- Greet callers and visitors, directing them appropriately.
- Manage daily postal mail distribution.
Office Management:
- Maintain inventory and order office supplies.
- Manage maintenance of office equipment.
- Monitor and manage office budget.
Requirements:
- Associate's Degree in accounting or related field or three years of equivalent experience.
- Valid IL Driver's License and adequate auto insurance.
