The Facilities Administrator manages and coordinates activities of bank-wide office services to include but not limited to office and beverage supply administration, specialty cleaning (windows, flooring, upholstery), daily cleaning contracts, fire extinguishers, pest control, document destruction/shredding, and administrative oversight of the facilities ticketing system.

The Facilities Administrator manages and coordinates activities of bank-wide office services to include but not limited to office and beverage supply administration, specialty cleaning (windows, flooring, upholstery), daily cleaning contracts, fire extinguishers, pest control, document destruction/shredding, and administrative oversight of the facilities ticketing system.
RESPONSIBILITIES:
- Participate in vendor selection, contract negotiation, scheduling, and follow-up of all office service offerings
- Be the point person for any vendor discrepancies and provide for timely resolution
- Review and approve all office and kitchen supply orders via the on-line ordering website(s)
- Conduct annual reviews with our vendors to measure efficiency, fairness in pricing, and corporate reporting.
- Develop and maintain bank-wide vendor database to include vendor market, function, and contact information
- Responsible for the bank equipment vendor relationship. This includes ordering bank equipment, tracking installation, branch communication, and final invoicing
- Develop and administer a life safety program to include fire extinguisher inventory, CO detector inventory, and elevator safety
- Administer and monitor the facilities ticketing system
- Update property management directory
- Set priorities and organize the administrative workload for assigned area of responsibility.
- Responsible for all aspects of document shredding
- Responsible for updating and maintaining vendor and property management database and files
- Identify, participate, and make recommendations on initiatives, processes and procedures to improve operational efficiencies while assuring quality within United Bank policies
- Interact with various internal and external customers to propose and implement solutions to problems associated with assigned work activities; seek guidance as necessary
- Prepare monthly reports to identify areas of expense reduction and maintain Core List of supplies
- Manage trash service, office cleaning, specialty cleaning
- Update Support Services directory on the Intranet and responsible for content management of Facilities shared drive
- Ensure all repair and maintenance requests are completed in a timely and efficient manner.
- Advise the maintenance managers of potential problems, repairs and/or issues with branches and properties
- Perform specialized work assignments and will maintain files and reports as required
- Assist with special projects as assigned.
- Minimum of 5 years related commercial or corporate facilities and/or maintenance working experience or equivalent combination of education and working experience required.
- CFM designation preferred
- Proficiency in Microsoft Office products required (Work, Excel)
- Experience using facilities ticketing system software
- Demonstrated ability to use sound judgment and exercise discretion in decision making situations
- Ability to lift a minimum of 50 lbs.
- Valid driver’s license required
- Ability to utilize own vehicle for transportation throughout the day is preferred
- Ability to travel frequently within the designated area of responsibilities
- Excellent customer service and interpersonal skills required
- Excellent oral and written communication skills
- Overall understanding of financial industry highly desired
- Ability to work independently, take initiative and contribute to being a part of a team;
- Ability to be flexible in work hours as needed
- Demonstrated ability to represent the Bank in a professional manner
- Sitting or standing for extended periods of time.
- Pulling, lifting and pushing of office furniture, equipment and boxes
- Sufficient dexterity of hands and fingers to efficiently operate a computer keyboard, mouse, power tools, and other computer components.
- Ability to converse and exchange information with all levels of staff within organization.
- Ability to observe, perceive, identify, and translate data
- Ability to travel via air, rail, automobile and/or bus.
