What You’ll Do:
As a member of our First Impressions Team, you will play a key role in administrating cosmetic injectables, building long-term relationships with patients, and committing to providing exceptional patient care. You will also actively participate in marketing campaigns, social media posts, and other self-promotional activities to drive your business. As a key employee opening a new med spa location, the team expects you to bring in clientele through your personal brand, strong focus on patient care, and exceptional technical skills. Your responsibilities will include:
• Performs activities at the new Byron Center location including but not limited to, opening & closing the Med Spa, counting inventory, restocking inventory & supplies, community outreach, laundry, etc.
• Educate, promote, and sell monthly packages, treatments, specials, beauty subscriptions, loyalty programs, and products.
• Ensure financial accuracy by performing daily audits of the transactions you processed.
• Schedule patients for aesthetic treatments with over 15 providers.
• Explain and uphold our Financial Policy by appropriately applying loyalty rewards (Alle, Aspire, Xperience, Merz), discounts, and current marketing promotions.
• Educate patients and promote our financing options through PatientFi and Care Credit.
• Accurately process patient and staff transactions at checkout.
• Assist in training new team members.
• Recommend “Best Practices” to management and assist in implementing best practices as requested by the leadership team.
• Answer phone calls as a backup for our Patient Experience Specialist (PES) Team.
• Remain up to date on all technologies, treatments, and products offered at BCAPS, as well as surgical procedures at New Vista Surgical Suites (NVSS).
• Ensure a patient’s profile is accurate by updating Nextech with recent demographic changes and assist patients with completing the required paperwork in their Patient Portal.
• Report Adverse patient and provider experiences daily to Office Manager, both verbally and in writing.
• Greet all Patients, Vendors and Team Members as if you were welcoming them into your home.
• Effectively credential the practice, physicians, and providers to all patients.
• Complete required compliance training and understands all HIPAA requirements to ensure private health information remains confidential.
• Available for special projects as designated by the Management Team.
• Show up professional and SHOW READY per BCAPS attire standards.
What We’re Looking For:
• Previous experience in healthcare, or knowledge of surgical procedures and Aesthetic treatments and products is desired.
• Three to five years of progressive experience working in the concierge/customer service industry.
• Familiarity with the aesthetic industry and/or medical practice operations such as HIPAA patient privacy practices, and medical terminology is preferred, but not required.
• The position requires an organized, self-motivated individual who can work independently and prioritize work to meet deadlines. This is a hands-on, in-person position.
• Demonstrates professional interpersonal communication skills to facilitate polished and effective interaction with patients, vendors, and BCAPS team members, both verbally and written.
• Able to work with minimum supervision and to organize and prioritize work in order of importance to deliver exceptional patient experience and achieve BCAPS strategic goals.
• Possess strong computer skills with working knowledge of the latest versions of Microsoft Office (Word, Outlook, Excel). Experience with Nextech Practice Management Software is a plus.
• Possess proficient keyboard skills of a minimum of 50 words-per-minute.
• Able to efficiently operate a computer, various software applications/platforms, and office equipment, such as a copy machine, fax machine, and other common office equipment.
• Capable of processing requests for information quickly and accurately, and involving other team members, when appropriate, to ensure patient needs are met.
• Able to balance the importance of following set procedures with a desire to consistently improve quality of work product and efficiency of processes while considering practice expenses and the cost to administer programs.
• Dedication to presenting a professional and positive image to patients, vendors, and team members.
• Basic problem solving and troubleshooting skills to handle emergent issues.
• Commitment to maintaining progressive knowledge and skills essential to successfully perform the duties outlined herein.

Schedule: Full-Time, Monday through Friday (30-40 hours per week); Part-Time (16-29 hours per week); occasionally Saturdays and evenings

WORKING CONDITIONS & PHYSICAL DEMANDS
Typical working conditions associated with this type of work and environmental hazards, if any. Physical effort is generally associated with this position.
• INTERNAL – The building is a clean, climate-controlled, well-lighted office. This position has exposure to potentially hazardous work situations. Normal peri-operative environment with occasional exposure to chemicals and their odors, cleaning solvents, bodily fluids, and other hazardous materials. Occasional exposure to possible injury when working with machines and equipment, which requires care and following proper safety procedures. The noise level is moderate and includes sounds of office and hospital equipment.
• EXTERNAL – Work requires some travel within the city to carry out errands associated with this position.
• GENERAL – Work requires frequent listening, talking, bending, and walking. This position requires the ability to perform lifting of instrumentation and equipment weighing up to 50 lbs. This position requires standing for close to 100% of the workday. Work requires finger dexterity and eye-hand coordination to operate office equipment.
• OTHER - Based on the OSHA guidelines for protection against occupational exposure to hepatitis and HIV, this position is described as Category IV. This means that this position has low risk exposure to blood and body fluids. Policies are in place for Universal Precautions identifying risks and appropriate barrier protection.
