We are seeking a dedicated and skilled Accountant on a full-time basis. The Accountant is responsible for the day-to-day financial accounting of the practice, with particular emphasis on provider and staff compensation — including commission calculations, bonus administration, and periodic true-ups. This role ensures the accuracy, timeliness, and integrity of financial records across a multi-revenue-stream environment (surgical services, injectables, laser and energy-based treatments, skincare retail, and membership/package programs), and partners closely with practice leadership, providers, and payroll/HR to ensure compensation is calculated correctly and paid on time.

Key Responsibilities

Financial Accounting & Reporting

•      Maintain the general ledger, including journal entries, account reconciliations, and month-end and year-end close processes.

•      Prepare accurate and timely financial statements (P&L, balance sheet, cash flow) for practice leadership and ownership.

•      Reconcile bank, credit card, and merchant processing accounts, including EMR/POS system deposits (e.g., Nextech, PatientNow, Symplast, or similar).

•      Maintain accounts payable and accounts receivable, including vendor payments, patient financing reconciliation (e.g., CareCredit, PatientFi, Cherry), and aging review.

•      Support budgeting, forecasting, and variance analysis by location and service line.

Inventory & Fixed Asset Management

•      Provide oversight of inventory management for injectables, skincare, and other retail/clinical supplies, partnering with practice Management on physical counts and cycle counts.

•      Investigate and resolve inventory count discrepancies with Management, and post the resulting adjustments at month end.

•      Maintain the practice's Fixed Asset list, including additions, disposals, and transfers.

•      Record monthly depreciation adjustments in accordance with the practice's CapEx policy.

Commission, Bonus & Compensation Accounting

•      Calculate provider and injector commissions accurately across multiple structures (flat-rate, tiered/graduated, and service-specific rates for injectables, laser, skincare, and retail).

•      Administer bonus programs, including production-based bonuses, EBITDA-linked incentive plans, and personal MBO-based bonuses, ensuring calculations align with plan documents and offer letter terms.

•      Perform periodic true-up calculations for guaranteed minimum compensation arrangements, draw-against-commission structures, and any supplemental payments owed when earned compensation falls short of a guaranteed threshold.

•      Reconcile commission and bonus calculations against POS/EMR production reports and payroll register prior to each pay cycle.

•      Maintain clear, auditable documentation supporting each compensation calculation, and respond to provider or staff pay inquiries with accuracy and discretion.

•      Partner with HR/Payroll to ensure compensation plan changes (new hires, plan updates, terminations) are reflected accurately and on schedule.

Compliance & Internal Controls

•      Maintain internal controls over cash handling, revenue recognition, and compensation calculations.

•      Support external tax preparers, auditors, and lenders with schedules, reconciliations, and documentation as requested.

•      Ensure compliance with applicable state and federal wage, hour, and payroll regulations as they relate to commission and bonus payments.

•      Identify and recommend process improvements to strengthen accuracy and efficiency of accounting and compensation workflows.

Qualifications

Education & Experience

•      Bachelor's degree in Accounting, Finance, or a related field required.

•      3–5 years of accounting experience; healthcare, medical spa, plastic surgery, or multi-location retail/services experience strongly preferred.

•      Demonstrated experience calculating commissions, bonuses, and true-ups in a provider- or sales-compensation environment.

•      CPA or progress toward CPA licensure a plus, but not required.

Skills & Competencies

•      Strong proficiency in Microsoft Excel (pivot tables, lookups, and complex formulas) for building and auditing compensation calculations.

•      Experience with accounting software (QuickBooks, NetSuite, Sage Intacct, or similar) and familiarity with medical spa/plastic surgery EMR-POS platforms a plus.

•      High degree of accuracy and attention to detail, particularly under recurring pay-cycle deadlines.

•      Strong analytical and problem-solving skills, with the ability to reconcile discrepancies between production data and compensation output.

•      Excellent discretion and judgment when handling confidential compensation and financial information.

•      Clear written and verbal communication skills, including the ability to explain compensation calculations to providers and staff.

•      Comfortable operating in a fast-paced, multi-location, multi-revenue-stream environment.

Work Environment

This position operates in a professional office/clinical business setting. Regular, predictable attendance is required, particularly around month-end close and payroll processing deadlines. Occasional travel between practice locations may be required.
