The Meetinghouse: The Meetinghouse (First Church in Roxbury), a Boston landmark built in 1804, is a part of UUUM’s campus in John Eliot Square. A multi-year project to restore the church to its original elegance as a center for community life in Roxbury was recently completed. With the transformation of our flagship building, we now will be able to advance our work for racial, social, and economic justice through the arts and civic engagement in an iconic Boston Landmark that can seat hundreds of people.
In addition to UUUM programming, the Meetinghouse will also be available as a venue that can be rented by other organizations, businesses, and individuals to be the site of their events.
Job Description: The MH Events Coordinator is responsible for planning, organizing, and executing internal and external events that will take place at the Meetinghouse. This role involves coordinating and communicating logistics, managing timelines, and ensuring that all parts of events run smoothly. The ideal candidate is highly organized, detail-oriented, a good communicator, and an independent worker.
Responsibilities:
Event Planning and Implementation:
- Serve as the primary point of contact for all Meetinghouse events, including external rentals andinternal UUUM programs.
- Manage and maintain the Meetinghouse events calendar, ensuring clear communication withFacilities and other staff about setup and support needs.
- Plan and coordinate event logistics, including scheduling, vendor communication, equipmentand A/V needs, staffing, and event timelines.
- Conduct tours and walkthroughs for prospective renters, partners, and program staff.
- Provide on-site event management, including setup and breakdown, vendor and staffcoordination, issue resolution, and ensuring that the space is prepared and welcoming.
- Support events such as community gatherings, musical events, workshops, meetings,fundraisers, donor events, and other programming held in the Meetinghouse.
Administrative & Operational Support:
- Support the cleanliness, readiness, and overall appearance of the Meetinghouse event space.
- Maintain documentation for contracts, invoices, contact lists, and partner or vendorcommunications.
- Develop and maintain standard operating procedures for events at the Meetinghouse.
- Process and track event invitations and RSVPs for UUUM events as needed.
- Obtain necessary documentation from renters and partners (insurance certificates, tax forms,etc.).
- Evaluate event success and gather feedback to help increase attendance and engagement.
- Sponsorship and Budget Management:
- Create event quotes and proposals for external rentals, clearly communicating venue pricing,policies, and requirements.
- Support budget tracking, expense reconciliation, and invoicing related to Meetinghouse events.
- Assist in managing sponsor relationships and ensuring all sponsor guidelines are met duringevents.
Qualifications:
- 2 years of experience in event coordination or a related field, or a bachelor’s degree in EventManagement, Communications, Hospitality, or related area.
- Excellent organizational, time management, and communication skills.
- Ability to manage multiple events and deadlines simultaneously.
- Proficiency with event planning tools (Eventbrite) and software (Google Suite, Microsoft Office).
- Flexibility to work evenings and weekends as needed.
- Ability to lift or carry at least 25 lbs.
- Preferred Qualifications
- Familiarity with local vendors and permitting processes.
- Experience working with diverse communities or nonprofit organizations.
- Being bilingual is a plus.
Compensation: $33.00 - $35.00 per hour**

- Help establish the necessary standards and processes for the functions of this role, and have them in place by the end of the term of employment
