What are the responsibilities and job description for the Customer Service - Order Coordinator position at Unisource Marketing Group?
Job Summary
Unisource Marketing Group is a manufacturers’ representative serving the commercial foodservice equipment industry throughout Florida. We work with equipment manufacturers, dealers, consultants, outside sales representatives, and commercial foodservice operators to coordinate equipment projects from order through delivery.
We are looking for a highly organized, detail-oriented Customer Service & Order Coordinator to serve as a primary point of communication between our customers, manufacturers, outside sales team, and internal departments.
This is not simply an order-entry position. The person in this role will help manage customer purchase orders from receipt through production, shipment, delivery, and post-shipment support. You will communicate with manufacturers and customers, track order progress, identify discrepancies, follow up on outstanding information, and help resolve issues that could affect project timelines.
Key Responsibilities:
- Receive and review customer purchase orders for accuracy, pricing, freight terms, documentation, and consistency with quoted project requirements
- Submit orders and required documentation to manufacturers
- Communicate order revisions, acknowledgements, ship dates, production updates, delays, and other important information to customers and outside sales
- Track outstanding information and follow up with customers and manufacturers to keep orders moving
- Coordinate factory drawings and other project documentation requiring customer review or approval
- Monitor orders through production and shipment
- Assist with shipment tracking, proof of delivery, freight damage claims, reconsignment, redelivery, returns, and replacement requests
- Maintain accurate order information, documentation, and status updates within our CRM/order management system
- Coordinate with outside sales and internal departments to resolve order or project issues
- Develop working knowledge of our manufacturers, products, and the commercial foodservice equipment industry
What We’re Looking For:
- Strong customer service and professional communication skills
- Exceptional attention to detail and accuracy
- Strong organizational skills and ability to manage multiple orders, deadlines, and priorities at the same time
- Consistent follow-up and follow-through
- Ability to identify discrepancies and proactively work toward solutions
- Comfortable communicating by email and phone with customers, manufacturers, and coworkers
- Experience with order processing, customer service, project coordination, purchasing, or similar B2B environments preferred
- Experience with CRM or order management systems preferred
- Commercial foodservice equipment experience is helpful but not required
This position is a good fit for someone who enjoys staying organized, communicating with multiple parties, solving problems, and making sure details do not fall through the cracks. Industry and product knowledge can be learned; strong communication, organization, accuracy, and follow-through are essential.
