Job Summary
The Administrative Assistant provides essential support to insurance teams by handling day-to-day administrative tasks that ensure smooth office operations. This role supports Risk Advisors, Client Managers and leadership by improving efficiency and client service. The AA ensures internal colleagues’ needs are met efficiently and accurately while maintaining compliance with industry regulations.
Essential Functions
• Provide a high level of service and support to both internal and external clients, effectively managing the expectations of colleagues and clients
• Maintain electronic and paper files and records attributed to RCM&D, committees, Executive Board and vendors in accordance with agency policies and procedures
• Work within the agency’s management system, Applied Epic
• Work directly with carriers to obtain policies, endorsements, audits and cancellations
• Comply with E&O Plus, legal, and regulatory requirements as applicable
• Create insurance claims guides; review and interpret insurance endorsements
• Manage correspondence, schedule meetings, maintain client records, prepare documents, and assist with data entry
• Assist in the preparation and/or review of reports and proposals
• Backup to receptionist which includes accurately identifying calls and directing to appropriate person; providing information about the agency and/or departments; welcomes and directs visitors
• Handle both incoming and outgoing mail and faxes (electronic and paper) appropriately
• Manage client certificate of insurance files
• Order and maintain supplies for Commercial Lines department
• Assist in special or one-time projects as assigned
• Additional job duties as assigned
Minimum Education/Abilities/Skills
• High school diploma or GED
• 3 to 5 years of administrative experience preferred
• Maintain a client centric focus; is highly responsive to internal and external stakeholders’ needs and can manage/meet/exceed expectations.
• Proficient with Microsoft Office Suite
• Knowledge of office equipment (computer, binding equipment, telephone, fax machine, copier and calculator)
• Team player with a positive attitude and willingness to learn; work collaboratively with internal and external stakeholders.
• Ability to learn third party computer programs/websites.

Additional Qualifications
• Obtain and maintain appropriate, jurisdictional licenses
• Experience with Applied EPIC desired but not required
• 1 to 2 years of college experience is preferred.
• Ability to lift 5 to 25 pounds
• Ability to sit for long periods of time
• Walking, bending, sitting, reaching, and stretching in all directions
• Repetitive hand movement, such as keyboarding, writing, and operating calculator
