Job Summary
The role of a strong Office Manager is imperative in the overall success of Union County TEAMS Charter School. This person will be in direct communication with all the school’s stakeholders, will help set and communicate a positive tone, and will help to maintain the infrastructure needed to support a school of systems, structures, and successes. The school secretary carries out secretarial and clerical duties necessary for the smooth and efficient operation of the office.
Responsibilities:
- Believe in the school mission that all students should be prepared to access college and careers
- Serve as a general office manager by ordering, managing, and maintaining inventory of school supplies
- Perform administrative duties such as composing and typing correspondence, filing, and scheduling
- Create and maintain systems to file all important school documents (i.e., student records, contact forms)
- Serve as a point of contact for parents, students, staff, and the public regarding school policies and procedures
- Serve as office reception by answering and directing calls, fielding questions
- Communicate staff absences to Assistant Principal, Principal, and Executive Director
- Collect and enter data into administrative databases
- Collect and enter student attendance; initiate follow-up calls with families; email daily attendance to key staff
- Operate all business machines necessary to complete clerical work required in the operation of the office.
- Coordinate school mailings/mass communications
- Maintain school calendar
- Arrange meetings and execute follow-up activities as necessary
- Contact parents and emergency assistance agencies in the case of serious illness or injury
- Maintain positive relationships with students, families, and staff
- Maintain confidentiality as required and appropriate.
- Provide administrative assistance (i.e., calendar, correspondence, requisitions) to Assistant Principal, Principal, and Executive Director as needed
- Complete other tasks related to the efficient operation of the office as assigned
- Support with special projects (i.e., school events, interviews) as needed
Qualifications and Certifications
- High School Diploma; Some college preferred
- Minimum of 3 years experience as an administrative assistant or office manager
- Proficiency in all Microsoft/Google applications and use of office equipment
- Proper English usage, grammar, spelling and punctuation
- Effective oral and written communication skills
- Detail oriented, with excellent organization skills
- Ability to compose correspondence independently
- Ability to apply policies and procedures related to assigned duties and responsibilities
- Positive attitude and strong work ethic
- Openness to feedback, willingness to take personal responsibility, and a desire to learn

Pay: From $40,000.00 per year
