Job Description:
Position Summary: The Operational Assistant position will serve in a front facing capacity to customers, employees, and other visitors while maintaining a hand in other vital administrative duties. This position will also provide day to day administrative support for the Human Resources department. The position requires someone who possesses a friendly and outgoing personality, and a strong ability to multi-task.
Essential Duties & Responsibilities
Operational support:
- Greet and assist corporate visitors (customers, employees, and other visitors) at front desk reception area
- Provide general administrative duties such as: scanning documents, sorting and dispersing mail
- Arrange conference calls, meeting logistics, conference room reservations, and training required by department as needed
- Design and create presentations, reports, and newsletters etc. on behalf of the Plant using various mediums such as PowerPoint and desktop publishing computer software
- Employee ID badge maintenance (creation, replacement, and access)
- Answering and fielding calls from the front reception to the appropriate parties.
- Role in emergency response process
HR/Payroll support:
- Assist with staffing and communication with various agencies
- Schedule candidate interviews
- HRIS data administration
- Employee on-boarding
- Responding to employee inquiries
- Maintain employee files (create new hire files, add documents to existing files, and clean up as necessary)
- Assist HR with new hire orientation by compiling welcome packets, reserving rooms, ordering lunches and coordinating calendars with required parties
- Assisting/Supporting HR staff with various projects as they arise
- Process e-Verify and notify HR with any non-matches
- Assist with the coordination of all employee related activities, such as training, health fairs, general meetings, employee recognition program, holiday and special events, etc.
- Responsible for the maintenance of all employee related bulletin boards to ensure compliance and up to date information
- Set up employees in timekeeping system
- Assisting with LMS (Learning Management System) follow-up and assisting employees with any login troubleshooting to the Clients’ portal and payroll system
- Support and coordination as it relates to established community relationships (setting up community events and partnerships)
Knowledge, Skills & Qualifications
- Maintain a high level of confidentiality when dealing with sensitive employee information
- Completes work with limited degree of supervision
- Demonstrated capability and knowledge of Microsoft Office (i.e. Excel, Word, Access, Outlook and PowerPoint)
- Strong teamwork, interpersonal, and organizational skills
- Effective oral and written communication skills
- High degree of initiative and demonstrated ability to work with frequently changing priorities and a strong attention to detail
- Ability to be flexible; willing to take assignments within different areas of the company
- Work on special projects as they arise
Education and Experience
- High School Diploma or equivalent GED required
- Bachelor’s degree with a focus in HR preferred
- Previous experience as a HR Administrator or Intern preferred
Minimum Qualifications
- Must be at least 18 years of age
