PROPERTY ADMINISTRATOR (SEATTLE, WA)

As a Property Administrator, you’ll play an important role in supporting the daily operations and tenant experience at a commercial property in downtown Seattle. This is a great opportunity for someone who wants to learn and grow in the property management industry!

    SALARY

    Starting at $27.00 - $29.00 / hour, for candidates in Washington state.

     

    ABOUT THIS POSITION

    The Property Administrator supports the on-site, day-to-day property management functions of commercial office buildings by performing tasks in the areas of administration, tenant relations, property appearance, leasing, reporting, and construction management

    Essential Functions include but are not limited to:

    • Enter and track work order requests and coordinate with vendors such as janitorial, signage, landscaping, painting, and security.
    • Provide administrative and general office support for staff such as filing, providing front desk coverage, processing mail, document preparation, records maintenance, coding and processing invoices, assigning and maintaining logs of purchase orders, confirming and auditing visa statements, ordering supplies, preparation/delivery of mail, and maintaining office equipment.
    • Track vendor and tenant insurance certificates.
    • Track data such as LEED and EnergyStar maintenance and administrative license and certification renewals.
    • Support day-to-day tenant activities including coordinating keys, issuing access cards, writing tenant bulletins, coordinating tenant move in/out, organizing special events, and scheduling freight elevators and conference rooms.
    • Assist in building marketing and new and renewal leasing activities including lease administration, reporting, and events.
    • Maintain property appearance and condition by coordinating and overseeing the quality of vendor’s delivery of services such as janitorial, landscaping, and signage.
    • Assist with close out of tenant improvement or building capital projects.
    • Assist with compiling information and writing reports.
    • Assist with Accounts Receivable calls and collection of tenant rent.
    • Assemble monthly reporting and annual budgets for distribution.
    • Build positive business relationships and promote a culture and demonstrate leadership that is committed to excellent service and sustainability.
    • Track and assist in negotiating market common service contracts.
    • Assist and track market common budgets, tenant bill backs, and utility recovery billings.

    SKILLS

    • Excellent customer service skills with ability to interact with the general public
    • Excellent communication skills
    • Ability to analyze moderately complex administrative details, such as planning, scheduling, reporting, and displaying data
    • Ability to operate various computer software programs, specifically Microsoft Office Tools

     

    QUALIFICATIONS

    • High School diploma or equivalent
    • 1-3 years’ experience in a customer service and/or administrative position
    • Prior property management experience preferred

    While performing the duties of this job, the employee is regularly required to: work at a stationary work space for long periods of time, with mobility to move throughout the office; use a PC, constantly reaching with hands and fingers and keyboarding extensively; work in close contact with small and large groups as frequent communication with others is required, including use of the telephone; be able to read and write documents in hard and electronic copy, including those requiring great attention to detail; have the physical strength and agility to handle routine office tasks and machinery.   Occasional travel may be required for certain employees depending on location.

    This position is in a standard office environment with desktop business equipment and frequent telephone calls.  Noise level is moderate.  Frequent interruptions are common, while under deadlines and time constraints.
