Job Summary
We are seeking a professional and organized Receptionist to join our busy physical therapy clinic. The ideal candidate will serve as the first point of contact for patients, providing exceptional customer service while managing administrative tasks efficiently. This role requires strong communication skills, familiarity with medical office systems, and the ability to handle sensitive health information in compliance with HIPAA regulations. Bilingual abilities and prior clinic experience are highly valued to ensure smooth patient interactions and effective office operations.
Duties
- Greet patients warmly and manage patient check-in and check-out processes
- Schedule appointments using EMR systems such as Epic, Meditech, or eClinicalWorks
- Verify insurance coverage and perform insurance verification procedures
- Collect payments and process medical billing using appropriate coding (ICD-10, CPT)
- Maintain accurate medical records and ensure proper documentation review
- Manage multi-line phone systems with professional phone etiquette
- Assist with patient intake, data entry, and updating electronic health records (EHR systems like Athenahealth or Dentrix)
- Handle correspondence, filing, and manage medical records in compliance with HIPAA standards
- Support clinic staff with administrative tasks including office management and document organization
- Ensure a clean and organized front desk area to promote a welcoming environment
Requirements
- Prior experience in a medical office setting (1-3 years), preferably in physical therapy or dental clinics
- Proficiency with Medisoft, and EMR/EHR systems
- Knowledge of medical terminology, ICD-9/ICD-10 coding, CPT coding, and medical billing procedures
- Experience with insurance verification and Medicare processes
- Strong computer skills including Microsoft Office Suite (Word, Excel) and typing accuracy (10 key typing)
- Excellent communication skills with professional phone etiquette; bilingual abilities (English and Spanish) are a plus
- Ability to handle sensitive patient information in accordance with HIPAA regulations
- Strong organizational skills with attention to detail in documentation review and filing processes
- Office or administrative support experience within a healthcare environment is preferred
- High school diploma or equivalent required; additional certification in medical administration is advantageous
