ABOUT THE POSITION

The Philanthropy Manager is responsible for providing critical administrative and operational support for the entire Philanthropy Team while simultaneously managing and cultivating key donor programs. The Philanthropy Manager plays a vital role in ensuring the Philanthropy Team operates efficiently and that our growing base of Sustainer-level individual donors (gifts below $4,999) feels valued and engaged. This position specifically involves managing and growing the Medical Debt Relief Association (MDRA), Undue’s recurring donor membership program, by engaging, cultivating, and stewarding Sustainer-level donors. The Philanthropy Manager will secure gifts, track all donor interactions, and manage a portfolio of Sustainer-level donors, while also building and managing reports through our CRM (Raiser’s Edge). Beyond direct donor management, the Philanthropy Manager handles all ongoing administrative responsibilities necessary to ensure the smooth operation and success of Undue’s diverse fundraising components, including precise data entry & reporting, drafting donor and internal correspondence, and maintaining effective internal project management.


DUTIES AND RESPONSIBILITIES

Administrative and Operational Support:

  • Provide critical administrative and logistical support to the Vice President of Philanthropy and the broader Philanthropy Team, including scheduling, meeting preparation, regional event logistics, and travel arrangements.
  • Handle all ongoing administrative responsibilities necessary to ensure the smooth operation and success of Undue's diverse fundraising components.
  • Implement and manage effective internal project management systems and timelines to track the Philanthropy Team's overall progress across all programs.
  • Assist the team in drafting donor and internal correspondence, proposals, and reports for special campaigns, appeals, partnerships, and donors, as needed.
  • Work with various internal teams to develop and update supportive materials for engagement, cultivation, solicitation, and stewardship purposes.

Sustainer Level Donor Management and Recurring Giving (MDRA):

  • Manage and grow the Medical Debt Relief Association (MDRA), Undue's recurring donor membership program, overseeing day-to-day operations and conversion strategies.
  • Manage a portfolio of Sustainer-level individual donors (gifts below $4,999), focusing on engagement, cultivation, and stewardship to promote retention and loyalty.
  • Secure sustained gifts from the portfolio by developing and submitting personalized, high-quality communications and appeals.
  • Coordinate the weekly donor acknowledgment process and corresponding reports, ensuring timely and personalized recognition for Sustainer-level donors.

Data Management, Reporting, and Integrity:

  • Utilize the fundraising CRM (Raiser’s Edge) for precise data entry to look up and maintain up-to-date and accurate donor data.
  • Track all donor interactions, manage reports, and assess giving trends to support strategic decision-making across the Philanthropy Team.
  • Create bespoke segmentation lists and reports for project-related requests from various fundraising program components.
  • Implement wealth-screening and coding processes to ensure data integrity and assist in the identification of high-level donors for review by leadership.

Collaboration and Institutional Knowledge:

  • Collaborate with internal colleagues (including Finance, Debt Acquisitions, Public Policy, Development Operations, and Information Services) to execute projects successfully, with a focus on maximizing participation, revenue, and engagement from all constituents.
  • Develop a keen understanding of the work of Undue Medical Debt, our program areas and services, and relevant and current issues related to medical debt relief.
  • Stay current on fundraising and donor cultivation best practices, proposing updates and changes to the VP of Philanthropy to ensure operational excellence.
  • Support the Philanthropy Team and the organization at large on other events, projects, and campaigns as needed.
  • Contribute to fostering an ethical, positive, results-oriented philanthropic culture founded on transparent communication.


EDUCATION & EXPERIENCE

  • Bachelor’s Degree preferred
  • 2 years of progressive experience in nonprofit management, donor relations, or a development-related area (such as alumni relations, marketing, or sales).
  • Proven ability to be hardworking and thrive in a fast-paced environment, demonstrating resilience and adaptability under pressure.
  • Excellent written and verbal communication skills, with an ability to draft professional, personalized correspondence.
  • Eagerness to learn new systems, best practices, and contribute proactively to the success of all fundraising programs.
  • Exceptional attention to detail and commitment to accuracy in data entry, reporting, and correspondence.
  • Highly motivated self-starter with the ability to manage complex administrative tasks and donor portfolios independently and effectively.
  • Demonstrated ability to be creative in developing tailored stewardship plans and finding new ways to engage donors and advocates.
  • Proficiency in database management software (ex. Raisers Edge) and related research/prospecting software (ex. iWave) is required.
  • Proven administrative, customer service, or volunteer management experience is strongly preferred.


TECHNICAL SKILLS

  • Basic knowledge of Microsoft Office suite is required.
  • Experience with CRM database systems is required (Raiser’s Edge preferred)

Founded in 2014, Undue Medical Debt is one of the leading charitable organizations that addresses medical bills. Undue’s offices are located in Long Island City, NY, just minutes from Manhattan, conveniently located steps away from many major subway lines. The team has implemented and fully embraced a hybrid work environment, working from the office only 3 days per week. A portion of Undue’s team lives outside of New York City and are fully remote. Remote employees are expected to work with their managers to plan regular travel to the NYC office for team engagement.


COMPENSATION AND BENEFITS

This is a full-time hybrid (will work in the office 3 days/week) or remote position with an annual salary range of $75,000-$95,000 commensurate with experience.
