Purpose of Position

The Grants & Project Coordinator will provide high-level support for the administrative core of the COBRE Indigenous Trauma & Resilience Research Center. This position will assist the COBRE Principal Investigator in managing the operational aspects of the grant, tracking progress, and communicating effectively with internal leaders and partner institutions. The position will assist faculty/researchers with the programmatic reporting activities to federal agencies. This position will also be responsible for managing all Indigenous Health grants.

Duties & Responsibilities

  • Participate in and provide support for the recruitment of applicants and mentors for COBRE pilot grant funding:
  • Create and maintain a website for the COBRE grant.
  • Create and disseminate recruitment materials
  • Assist PI with the review of pilot proposals
  • Develop and maintain contacts with external funding agency personnel.
  • Communicate with administrators, faculty, and researchers to target and prioritize projects for funding consideration.
  • Provide administrative support for the COBRE grant:
    • Coordinate meetings by developing agendas and scheduling communications
    • Serve as primary liaison between Principal Investigator (PI) and partnering universities, institutes, and clinical entities.
    • Draft policy protocols in conjunction with Principal Investigators and appropriate advisory committee; maintain policy database; communicate policies and revisions to all stakeholders.
    • Work with PI and leadership teams to review program activities and formulate and implement strategic planning protocols.
    • Assist with outreach activities to share clinical and scientific achievements with the general public.
    • Maintain a detailed record-keeping system and prepare annual programmatic reports, including the Centers of Biomedical Research Excellence (COBRE) annual progress report.
    • Facilitate Institutional Review Board (IRB) approvals for all projects.
    • Identify and comply with all grant reporting requirements as required by internal policies and procedures, as well as rules of external funding agencies.
    • Ensure appropriate communication among all COBRE stakeholders
  • Coordination of COBRE events.
    • Oversee and coordinate the American Indian Health Research Conference by following UND SMHS policy and procedures.
    • Create conference agenda by showcasing research activities by COBRE junior investigators.
    • Coordinate COBRE quarterly Colloquium Series.
    • Assist COBRE admin with speaker agreements and travel reimbursement
  • Financial Administration and Oversight.
    • Establish procedure and administration of all financial compliance and reporting functions for grants and contracts affiliated with the department.
    • Operationalize and oversee nine current and multiple upcoming grant awards, including (but not limited to) NIH, CTN, COBRE, NSF, AIHEC, HRSA, and ND-DOH.
    • Participate in discussion and finalization of annual project narrative and reporting, adjust budgets, and consolidate budgetary constraints within programmatic objectives.
    • In collaboration with Grants and Contracts Office, coordinate faculty efforts, budgets, and benchmarks of completion/compliance for multiple faculties from Indigenous Health and INMED departments.
  • Oversee and approve purchasing requests for administrative staff.

  • Ability to handle multiple assignments, ensuring accuracy and attention to detail.
  • Ability to maintain confidentiality of research and other relevant information.
  • Strong organizational and record-keeping skills.

Minimum Requirements

  • Bachelor’s degree
  • Experience working with federal grant structure and compliance requirements.
  • Experience with Microsoft Office software including Word, Excel, PowerPoint, and Outlook
  • Successful completion of a Standard Criminal History Background Check

Preferred Qualifications

  • Master's degree in public health or related field
  • Experience with the preparation of large multi-investigator extramural grants.
  • Experience with PS-Finance, HRMS, and Grant modules
  • Knowledge of NDUS/UND policies and procedures, especially in areas of grants management, financial management, procurement, and travel.
