Position Summary:

The Internal Audit Coordinator supports the execution of the internal audit plan, conducts internal audits and provides administrative support for the Supervisory Committee and the annual NCUA examination. Additionally, they will provide back-up support for the Executive Assistant role and/or quality control functions in other departments as needed.


Essential Functions:

  • Engages with third-party audit firms to coordinate the scheduling of audit engagements with UMassFive management as necessary. Ensures the timely distribution of audit request lists to management, organizes records retention structure and shares documents with auditors through secure channels. Attends kick-off and exit meetings for third-party audits, staying aware and engaged in the pace of the audit through completion.

  • Collaborates with credit union quality control staff and their managers to streamline records retention of multiple ongoing audits.

  • Provides administrative support for the annual NCUA examination, providing onsite access to examiners, organizing documents and performing secure uploads as needed.

  • Travels to and conducts quarterly audits of internal locations to check for adherence to cash management and security standards.

  • Loads audit and exam findings into the audit tracking system accurately and promptly. Ensures management responses to findings are appropriate and provided to third party auditors in a timely manner. Understands and utilizes reporting capabilities within the audit tracking system to produce meaningful reports for management and the Supervisory Committee. Follows-up with assigned managers on outstanding or overdue finding remediation.

  • Schedules Supervisory Committee meetings, coordinating attendance of appropriate participants as required. Utilizes appropriate software programs to build meeting agendas, uploading all documents and publishing materials as required. Will be responsible for attending these meetings and taking minutes.

  • Assists in the design and implementation of a member complaint tracking system for front line staff and management. Creates meaningful reports for executive oversight.

  • Receives and coordinates the timely response to official member complaints filed through the NCUA, CFPB, Attorney General’s Office, or other relevant agencies in coordination with appropriate senior management. Ensures proper records retention of all relevant documents.

  • Supports execution of the vendor due diligence program, serving as administrator for the tracking system and performing clerical tasks to keep documentation up to date. Performs reviews of all high-risk vendors and escalates concerns to senior management as appropriate.

  • Strong attention to detail and organizational skills, with the ability to manage multiple tasks and priorities accurately and efficiently
  • Excellent verbal and written communication skills, with the ability to convey information clearly and professionally.
  • Ability to maintain strict confidentiality when handling sensitive data, records, and communications.
  • Previous financial institution experience (credit union or bank)
  • Cash handling experience preferred but not required
  • Reliable transportation and willingness to travel between all branches within Hampshire, Hampden and Worcester County.

Hours: 32 hours per week; Standard hours are Monday–Thursday, 8:00 AM–5:00 PM; schedule may occasionally adjust based on business needs.

Telecommute Status: Hybrid

Reports to: VP of IT and Operations

Grade 10: Min - $28.58 – Mid: $35.72 – Max: $42.87

This position is primarily performed in a professional office environment and may include a hybrid or remote work setting. The role requires the ability to perform essential job functions such as working at a computer for extended periods and moving within the office environment as needed. Job-related requirements may include frequent keyboarding and repetitive use of hands and fingers; the ability to communicate effectively through speaking and hearing; and the ability to operate standard office equipment. Occasional physical activities may include bending, squatting, reaching, as well as the ability to lift and/or move objects weighing up to 10 pounds.
