FULL JOB DESCRIPTION:
The Delta Nu Chapter of Kappa Kappa Gamma at the University of Massachusetts Amherst, is looking for a House Director.
UMass Amherst is a nationally ranked public university located on Massachusetts's flagship campus. Amherst is a beautiful town, close to major urban centers and offers a rich cultural environment. The sorority house is located within walking distance to both the University’s campus as well as the town. The chapter house can accommodate up to 45 members who are striving for academic excellence while seeking the bonds of sisterhood.
This is a full time live-in position and the House Director must live onsite and sleep in the HD apartment, 7 nights per week while the members are in residence during the academic calendar, unless other arrangements have been made for adult supervision and approved by the House Board. The University has a 6 week break at the end of the Fall semester which encompasses Christmas/New Years. The HD can stay in residence but is not required to be there 5 of the 6 weeks, week-long spring break in March and the month of July. The HD is free to follow her own pursuits during the day if there are no HD responsibilities to be performed, however, she must remain available during those hours and days specified.
Under the direction of the Housing Corporation, the House Director’s primary responsibility is managing a well-organized, fiscally sound, smoothly operating, clean, safe and secure sorority house; while adhering to campus, KKG National and Delta Nu Chapter policies and rules.
The HD communicates any unusual trends and/or problems within the chapter house to the Chapter Counsel and Chapter Advisor.
The HD creates and fosters a comfortable atmosphere and ensures a productive environment for collegians and staff while observing KKG policies and procedures.
The HD manages, hires, trains and oversees contracted food service company staff, kitchen and housekeeping staff. The HD assists and supports the chef/cook with meal planning for lunch and dinner, purchasing/ordering food and food budgeting.
The HD orders cleaning supplies and any other restocking and equipping as necessary. While planning ahead for each academic term. The HD is responsible for opening the house up at the beginning of the academic year and closing the house for the summer. The HD can remain living at the Chapter House when closed to the KKG members.
The HD coordinates and supervises day to day facility management (with appropriate assistance per the House Board), small repairs, and maintenance including those undertaken when school is not in session. The HD will arrange for routine service equipment maintenance, lawn/landscaping, pest control, all life-safety equipment (security systems), ice/snow removal and gutter cleaning. The HD is to schedule and conduct any necessary inspection visits.
The HD maintains financial books, ledgers, pays all bills on time, oversees the submission of payroll information to the payroll service and maintains orderly financial records. The HD submits quotes to the Housing Corporation and is ready-to-pay invoices on a consistent basis.
The HD manages multiple service providers and serves as the on-site contact for all contractors and vendors while maintaining a professional working relationship with all parties, including but not limited to members, volunteers and guests. The HD communicates regularly with the chapter president, house manager, housekeeping, chef, cooking staff and KKG sisters.
The HD must oversee and supervise Chapter House repairs and deliveries while keeping an accurate and complete detailed file of all repairs and work done to the Chapter House. The detailed record must include who, what, when, time spent and any other pertinent information that would be vital for future reference.
The HD reports to the Housing Corporation twice a year on needed capital improvements and assists with budgeting for needed long term care and upkeep of the facility including house repairs and equipment replacement.
The HD serves as the official hostess for the chapter at social events held at the chapter house and promotes gracious living standards. The HD should eat at least one meal a day with membership, and prepare for, meet and welcome guests, including parents and friends of chapter members.
The HD serves as an advisor and friend of each chapter member as needed.
The HD ensures that the chapter house remains clean, orderly, and a safe environment.
The HD acts as a liaison for all campus activities involving house directors.
The HD performs a security check of the Chapter House before retiring to bed.
The HD performs other miscellaneous duties.
QUALIFICATIONS:
Fluent English (Required)
Driver's license and car (Required). Mileage will be reimbursed when HD is performing house errands.
US work authorization (Required)
Bachelor's degree (Preferred)
Property Management or Facilities maintenance: 3 years (Preferred)
REQUIRED SKILLS:
A house director must possess strong financial skills with emphasis on maintaining payroll, budget, keeping financial records and paying bills on time. The HD must have the ability to hire, train and supervise staff including but not limited to cook(s), kitchen staff, housekeepers, groundskeepers, maintenance workers and other help as needed.
Excellent written and verbal communication and organizational skills with a positive solution-focused attitude is a must.
Ability to perform basic to intermediate functions of Microsoft Word, Excel, and Zoom.
Ability to scan and email documents to House Corporation on a regular basis and communicate with House Corporation primarily through email.
Ability to work independently and maintain confidential information.
Professional and diplomatic interactions with students, parents, alumni, service providers and community resources.
Strong interpersonal skills, particularly with college-age women, including patience, flexibility, and a sense of humor.
Must be able to demonstrate the ability to climb up and down multiple flights of stairs, bend and lift 25 pounds if necessary.
SALARY:
$42,000.00 per year plus room and board.
