Ultimate Staffing is seeking a HR Coordinator to join a company in Irvine, CA.
We're looking for an HR Coordinator who will be the go-to person for supporting the Human Resources team and the field teams we work alongside. You'll be key in keeping our processes smooth, organized, and employee-friendly.
What You'll Be Doing:
Manage all new hire onboarding paperwork through Paycom (data entry, reference checks, background checks, drug testing, E-Verify, and I-9 compliance).
Help gather and update timecard details for payroll processing.
Set up meetings, create reports, write letters and employment verifications (VOEs), and jump into special projects as needed.
Handle a high volume of phone calls and emails with professionalism.
Support benefit administration, including open enrollment.
Make sure every onboarding experience is smooth and welcoming.
Be a friendly and supportive resource for employees as questions or issues come up.
Assist with job postings, internal moves, and creating new hire packets.
Keep job descriptions up to date.
Help with employee relations tasks like gathering information or assisting with investigations.
Help create and improve HR processes and best practices.
Manage inquiries related to FMLA, ADA, workers' comp, and disability claims.
Direct employee questions about benefits, retirement, and compensation to the right resources.
Pitch in with anything else the team needs!
What You'll Need to Succeed:
Ability to work independently, stay organized, and meet deadlines even when things get busy.
Strong attention to detail and a proven history of accurate work.
Solid writing skills-proper grammar, punctuation, and professional tone are a must.
Comfortable drafting memos, letters, and reports.
Excellent communication skills-both written and verbal-and a team-first attitude.
Strong phone and email etiquette.
Great at juggling tasks and prioritizing work.
Ability to handle confidential information with the highest level of professionalism.
A positive attitude and strong customer service approach.
What We're Looking For:
High school diploma required; Associate's degree a plus.
1-2 years of experience in an administrative or HR support role preferred.
- Bilingual Spanish preferred
