What are the responsibilities and job description for the Housing Administrator - Residence Life-East position at uic?
Under direction of the Assistant Director and or Area Coordinator, individuals who are classified as Housing Administrators assist in the execution and operation of complex housing programs including but not limited to the dissemination housing information to students, parents, other university departments, and concerned individuals; computer data input and retrieval related to maintenance of the housing information system database; and document production and processing, all of which are related to the daily management of university housing administrative operations.
Duties & Responsibilities:
Administrative:
- Coordinate building operations for Campus Housing to ensure safe and effective operations.
- Manage the Facilities Office including serving as receptionist, taking and relaying accurate messages, dispensing appropriate information, issuing and monitoring keys.
- Request, monitor and update custodial, housekeeping, maintenance, repairs, and telephone services.
- Work fluently in Key Watcher system to track, audit and complete necessary updates in conjunction with Student Affairs Technology.
- Work fluently in systems such as Star Rez, iBuy, Chrome River, EMS, and FMWeb.
- Serve as the primary contact for building related problems, report issues to Facilities Management and Technology Solutions, other campus partners and vendors to ensure repairs and services are completed timely and efficiently.
- Coordinate and follow-up with trades and/or outside vendors to ensure necessary work is completed.
- Coordinate with Campus Housing staff and other campus contacts as needed regarding facilities issues, updates, and emergencies.
- Assist in turn preparation of facilities as it relates to supply/inventory needs.
- Maintain and order necessary supplies and inventory for Facilities team to complete work.
- Implement and monitor health safety guidelines established in coordination with the UIC Environmental Health and Safety Office.
- Troubleshoot and resolve issues as needed before or during meetings in conjunction with Assistant Director of Conference Services & Affiliate Operations.
- Provide regular communication and updates to Campus Housing staff regarding activities and events in the West Area buildings.
- Maintain upkeep of reception area and common work spaces.
- Monitor mail and package distribution for the Area Office.
- Additional hours as needed for campus events, facilities preparation, student move-ins and move-outs.
Supervision:
- Provide training, supervision, accountability, and evaluation of desk(s) staff and desk manager.
- Prepare and manage work schedules for proper desk and security coverage throughout the year.
- Assist with supervision and evaluation of Building Service Aides.
- Assist in the process of recruiting, interviewing, selecting and scheduling student employees.
- Develop, standardize, and implement training curriculum for direct reports.
- Implement high standards for employee job performance.
- Oversee time tracking and monitoring of Federal Work Study balances of student employees.
- Prepare and manage schedules and payroll time clock review for student staff direct reports.
Customer Service:
- Maintain good public relations with students, parents, vendors, university communities and beyond.
- Represent the university to internal and external audiences.
- Effectively communicate with students and area staff regarding departmental issues or concerns.
Other:
- Performs duties of lower level of this series.
- Perform other related duties and participate in special projects as assigned.
