Provide administrative support for the Associate Dean, Assistant Deans, and Directors in the Office of the Dean in the areas of Finance, Facilities, and Human Resources. Provide high-level management of daily office tasks within the Dean's office. Coordinate and work with personnel both within and outside the department. Manage and control confidential documents.
Duties & Responsibilities:
- Provide administrative support for the Associate Dean for Administration.
- Perform assigned roles in Chrome River, including reconcile p-card transactions for the unit, serve as proxy for multiple administrators and staff, travel arranger, and cfoapal approver.
- Prepare purchase order requisitions and process contracts.
- Ensure compliance of all purchasing agreements with university policies.
- Process vendor payments.
- Process journal vouchers.
- Prepare and deliver cash deposits.
- Process internal billing and payments for services provided.
- Reconcile all unit cfoapals and payroll accounts each month.
- Review unit's monthly financial transactions and statements with associate dean monthly.
- Run financial reports for various departments. Implement year end closing and opening procedures for the unit.
- Attend Campus meetings, representing the unit.
- Maintain physical inventory and perform biennial inventory.
- Assist with day-to-day administrative operations of the office which include answering telephones, greeting visitors, receiving and distributing mail, opening and closing of office, deliveries, ordering supplies, making copies, maintain conference room calendar, and other general administrative support functions of the unit.
- Provide administrative support for facilities management including submitting service requests and reporting issues, key and building access.
- Responsible for telephone and voicemail service and repair issues.
- Perform other related duties and participate in special projects as assigned.
