Job Summary

JOB DESCRIPTION

Residency Program Coordinator will manage the day-to-day operations of the program and serve as an important liaison and facilitator between the learners, faculty and other staff members, and the ACGME. They are a key member of the leadership team and are critical to the success of the program. Program Coordinators assist the program director in meeting accreditation requirements, educational programming, and support of residents.

Department

The Department of Epidemiology and Biostatistics (DEB), housed within the UCSF School of Medicine, is the largest department of epidemiology in the University of California system. DEB is the epicenter of many of UCSF’s initiatives in population health, data science and informatics, health service research, health equity and artificial intelligence. The DEB has three missions: 1) education, 2) science, and 3) research. Its educational mission is to train students in epidemiologic and biostatistical methods for studying disease etiology and prevention, evaluating tests and treatments, and using evidence-based approaches in clinical practice and population health. The scientific mission of the DEB is to perform outstanding basic, clinical and population health research along a spectrum from molecules to society and to develop tools for the translation of knowledge that will improve clinical practice and population health and ensure optimal use of resources. The clinical mission of the Department is to support the practice of public health and preventive medicine in local, state, national and international health agencies.

  • Serving as liaison between the PHGPM program and the UCSF office of GME
    • Assisting in the annual ACGME Accreditation Data System (ADS) entry

  • Administrating PHGPM Resident Activities:
    • Maintaining a record system of resident academic progress, including in-service exam scores, academic transcripts, public health project deliverables, and rotation evaluations
    • Distributing and collecting ACGME milestones for PHGPM residents on an annual basis
    • Overseeing UCSF resident compliance with logging activities into the MedHub system
    • Coordinates annual payment of ACGME fees with department (DEB
    • Responding to email inquiries on behalf of the program

  • Supporting Resident Rotations:
    • Distributing and collecting rotation evaluations from supervising preceptors
    • Arranging Apex electronic health record access for residents
    • Arranging UCSF emails and badges for visiting residents

  • Supporting Additional Resident Academic Activities:
    • Coordinating resident registration for UCSF’s Training in Clinical Research program
    • Coordinating the annual PHGPM Board Review Course
    • Scheduling Monthly Journal Club meetings

  • Supporting Program Meetings:
    • Scheduling program meetings, including an annual Program Evaluation and two biannual Clinical Competency meetings.
    • Maintaining a record of meeting minutes

Qualifications

Required Qualifications:

  • Bachelors degree and three years related experience or equivalent combination of training/experience
  • Excellent ability to organize and prioritize tasks, schedules and trainee files
  • Clear verbal and written communication to liaise with trainees, partnering resident rotation sites, faculty, and the Office of GME
  • Intermediate Proficiency in Microsoft Office Suite
  • Proficiency in Box and Sharepoint

Preferred Qualifications

  • Familiarity with UCMe, PeopleConnect, MedHub
