Position Summary:
The Clinical Administrative Associate provides confidential administrative and financial support functions to the Executive Administrator/Assistant Regional Dean.
Under minimal supervision, to provide essential administrative and business support services within a school, department or unit which may include budget maintenance, personnel processing, policy communication, facilities/space management, database/files management, office/clinic management or patient flow management. To coordinate programmatic activities and functions. To conduct special projects relating to an office's administrative operations at the direction of superior. To maintain vendor relationships.
To interface with internal and external constituencies. May provide confidential secretarial/office support functions for department chairs, large division directors, deans or other organization executives. Typically supervises clerical/secretarial staff. May assist in preparation and submission of grants. May be responsible for equipment/furniture repair. May assist with grants and contracts administration. May prepare financial reports and analyses.
Duties and Responsibilities:
- Generates and enters all invoices for the physician practice plan in QuickBooks; mails invoices for payment and reconciles invoices to confirm payments are received
- Enters payment requisitions in Oracle for UAB expenses and QuickBooks for Valley Foundation expenses
- Assists with gathering and entering required supporting vendor contract documents in CMS and following up on status
- Mails patient dismissal letters via certified mail and assists with special projects
- Provides administrative support to Executive Administrator/Assistant Regional Dean to include maintaining calendar and assisting with scheduling meetings.
- Perform other duties as assigned
Salary Range: $18.35 - $29.80
LOCATED IN HUNTSVILLE, ALABAMA.
Bachelor's degree in a related field and one (1) year of related experience required or an equivalent combination of relevant education and/or experience.
Preferred:
- Soft Skills: Strong organization skills; Ability to multi-task and prioritize assignments; Strong verbal and written communication skills; Self-directed/self-motivated
- Hard Skills: Experience providing administrative and financial support to executive leadership
- Have a Business, Finance, or closely related degree
- 3-5 years of related experience
