POSITION PURPOSE

We are seeking a personable, organized, and proactive Practice Growth & Patient Experience Coordinator to support the continued growth and success of our highly respected oral surgery practice in Bellingham, Washington.

This unique hybrid role combines community outreach and marketing support with patient-facing coordination and operational responsibilities. The ideal candidate enjoys building relationships, creating positive patient experiences, supporting referral relationships, and helping keep office operations running smoothly behind the scenes.

This role will support practice growth initiatives through referral outreach, social media, and community engagement, while also assisting patients with scheduling, insurance coordination, treatment planning support, and communication throughout their care journey. The position also plays an important role in supporting the administrative and financial workflows that contribute to the overall success and efficiency of the practice.

ESSENTIAL RESPONSIBILITIES AND DUTIES

Practice Growth & Marketing Support

  • Build and maintain positive relationships with referring dental offices and community partners.
  • Visit referring offices regularly to strengthen relationships and support practice visibility and referral growth.
  • Coordinate and attend promotional events, educational programs, community events, study clubs, and outreach activities.
  • Assist with social media updates, online engagement, and website coordination.
  • Prepare and distribute marketing materials, educational resources, promotional items, and referral support materials.
  • Track referral activity and assist with reporting and growth initiatives.
  • Support internal office culture initiatives, employee engagement activities, and office celebrations.
  • Assist with community outreach and initiatives that enhance the visibility and reputation of the practice.

Patient Experience & Revenue Cycle Support

  • Assist patients with scheduling, insurance coordination, and treatment-related questions to help create a seamless patient experience.
  • Support insurance verification and benefit review processes to help ensure accurate treatment estimates and financial communication.
  • Assist with treatment plan estimates, patient financial discussions, and coordination of payment options.
  • Help support accurate documentation, claims workflow, and patient account processes in collaboration with practice leadership and centralized billing teams.
  • Monitor and assist with follow-up related to outstanding patient balances, insurance communication, and operational workflow needs.
  • Support efficient scheduling and patient flow to help maximize access to care and overall practice performance.
  • Serve as an important operational partner behind the scenes by helping maintain organized, accurate, and timely administrative and financial workflows.
  • Provide exceptional customer service and timely communication throughout the patient experience.

Administrative & Operational Support

 

  • Maintain accurate referral and outreach records and databases.
  • Assist with reporting, documentation, and organizational projects.
  • Support office initiatives that improve patient experience, communication, operational efficiency, and workflow consistency.
  • Help ensure marketing materials, supplies, and outreach items are organized and available.
  • Assist with front office operations and daily workflow support as needed.
  • Collaborate with practice leadership and team members to support a positive and high-performing office environment.

MINIMUM QUALIFICATIONS

  • 2 years of experience in healthcare, dental, patient coordination, insurance coordination, treatment planning, marketing, customer service, or related experience preferred.
  • Previous dental, oral surgery, specialty healthcare, or insurance coordination experience strongly preferred.
  • Strong interpersonal and relationship-building skills.
  • Excellent communication and customer service abilities.
  • Comfortable discussing insurance, treatment coordination, and patient financial responsibilities professionally and compassionately.
  • Highly organized with strong attention to detail and follow-through.
  • Ability to balance patient-facing responsibilities with operational and administrative tasks.
  • Comfortable working independently while also contributing collaboratively within a team environment.
  • Familiarity with social media platforms, digital communication tools, and basic marketing support activities preferred.
  • Proficiency in Microsoft Office and general computer skills.
  • Valid driver’s license and reliable transportation for local outreach activities.
