Production Specialist - Outside Service

The position entails working with contracted vendors to ensure the timely and accurately documented service of legal process, as well as the receiving and copying of documents and or items requested under previously served legal process. As well as entering the details of the work into our system so both internal and external clients have an accurate understanding of the status of their orders and the details of the service of the legal documents and the acquisition of the items requested.

Specific tasks performed include:

• Assigning and scheduling the service of legal process with an approved, contracted vendor through a secure means that protects the identities of the subjects of the request and any Personal Identifiable Information noted in the documents.
• Follow up with contracted vendors to verify the results of the jobs given to them, to make sure they were performed within the rules of civil procedure and company guidelines; that all required documentation is filled out accurately and completely, and that all necessary documentation is sent to us in a timely fashion.
• Advise Internal clients (Customer Service and Order Entry) of the details of the orders processed and/or the feedback regarding the locations contacted, to ensure that our external client (the law firms, attorneys, and insurance companies we serve) know the results of our efforts as well as any issues that we encountered in our attempts to serve and obtain the records and items they requested, and that the information in our database about the locations we contact is updated to ensure timely and effective service of legal process and procurement of the requested records or items.
• To review Invoices sent to us by contracted vendors for accuracy and see to it that payment is processed to pay those invoices in a timely fashion.
• Set up and follow through on the service of legal notice to attorneys of record in a timely manner, following the rules of civil procedure, as well as the guidelines of our company.
  
  

Skills, Abilities, And Experience We Are Looking.

Experience in dispatching drivers, agents, or service technicians to jobs sites to do work, including entering the time frame needed for the visit, special instructions to follow to effect a proper completion of the job, and follow up to ensure that the job was successfully completed.

Standard computer fluency to communicate with the vendors to set up legal process serves and appointments to copy records, including the use of emails, online records portals, as well as phone calls and messages.

Experience in Customer Service wherein it was necessary to make arrangements or appointments with a third party, within specific appointment times or ranges of time.

The ability to work unsupervised, on the body of work given to you to process, to make sure they are managed so they are done on time, in order of priority.

Attention to detail, along with the ability to spot and recognize flaws in documents that need to be corrected prior to being distributed for service.

Qualifications:

• High School Diploma or GED required
• 1 year of relevant work experience
• Strong attention to detail and organizational skills
• Ability to handle confidential documents with discretion
