SUMMARY:
The District Office Staff Assistant is responsible for managing the front desk during office hours and provides the first impression of the Member office to constituents and guests. The Staff Assistant interacts regularly with constituents, responds to verbal and written correspondence, and takes on administrative duties as assigned.
ESSENTIAL JOB FUNCTIONS REQUIRED:
- Provides a welcoming environment and positive first impression of the Member’s office to constituents and visitors.
- Handles incoming phone calls and messages with poise, professionalism, and promptness.
- Captures input in-person and over the phone from constituents on policy matters for the office’s consideration and response.
- Ensures incoming casework is distributed to appropriate district staff in an efficient and effective manner.
- Handles the Congressional Citation program, Capitol and White House Tour requests, and flag requests.
- Works closely with the Member’s scheduler to ensure meetings and appointments held in the office are on time.
- Performs other general administrative assignments to assist district office staff to support the office’s mission.
- Maintains a good working relationship with the Member, staff, and constituents.
SKILLS AND KNOWEDGE REQUIRED:
- Strong oral and written communication skills.
- Familiarity with local, state, and federal agencies and departments.
- Temperament to communicate with a variety of personalities in a tactful, pleasant, and professional manner.
- Ability to work cooperatively and courteously with others.
- Strong organization and follow-up skills.
- Thoroughness and careful attention to detail.
- Knowledge of office computer applications.
- Proficiency in word processing as well as with office equipment: scanner, copier, printer, desktop computer.
