Qualifications
To qualify for this position - applicants must meet all requirements by the closing date of this announcement - 06/15/2026. Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-07 position you must have served 52 weeks at the GS-06. The grade may have been in any occupation - but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year - it may not clearly demonstrate you possess one-year time-in-grade - as required by the announcement. In this instance - you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment. Duties
- Major Duties: Independently manages ADPCS's daily activity calendar - makes decisions - and acts on behalf of the ADPCS in many situations such as making commitments for events based on the schedule - finding alternative representation for the ADPCS at the events when unable to attend - ensuring no conflicts of commitments occur
- Oversees the daily administrative support operations of the Associate Director - Patient Care Services Office - designing and implementing new office processes based on ADPCS needs
- Maintains oversight of publication for policy and standard operating procedures aligned under Associate Director - Patient Care Services Office purview - ensuring accurate formatting - and timely renewal
- Independently crafts documents for signature with minimal review - to include responses to inquiries and administrative problems brought to the ADPCS Office by internal staff as well as VISN - external VHA - local health care entities - Commonwealth or Congressional officials - and Veterans as needed
- Provides administrative support to administrative services as well as Executive Leadership Team as needed - ensuring appropriate correspondence - communication and actions are shared and concurred upon timely and appropriately
- Provides readily obtainable information to the Associate Director - Patient Care Services to aide in discussions - personally handles many requests for information and resolves or assists in resolving a variety of complaints brought forth by patients - families or congressional liaisons while maintaining strict confidentiality
- Develops and maintains effective relationships with others
- may include effectively dealing with individuals who are difficult and even hostile
- Incumbent must deal with patients - and personnel from all disciplines in problem solving and making decisions on a day-to-day basis
- Contacts require tact - diplomacy - and compassion
- The incumbent must respond knowledgeably to a wide variety of questions and concerns related to sensitive and complex program areas including disciplinary actions and peer reviews
- Serves as Talent Management System Coordinator - tracks and ensures staff training requirements are met
- Maintains expertise with databases for ECAR - Menu Requests and Reviews - PIV Cards - HRSMART - Work Orders - entering all requests timely and accurately to maintain smooth service operations and support staff with operational needs
