Summary

This position serves as secretary to the Chief - Facilities Management Services(FM) within the Harry S. Truman Memorial Veterans Hospital. The secretary is responsible for providing a variety of day-to-day administrative and clerical support activities in a manner that facilitates effective and efficient attainment of FM goals - objectives - and responsibilities.

Qualifications

To qualify for this position - applicants must meet all requirements by the closing date of this announcement - 04/17/2026. Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-6 position you must have served 52 weeks at the GS-5. The grade may have been in any occupation - but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year - it may not clearly demonstrate you possess one-year time-in-grade - as required by the announcement. In this instance - you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment. You may qualify based on your experience as described below: Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-5 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include - but are not limited to: working as a receptionist - typing correspondence - reports and hospital policies; preparing agendas and taking minutes; maintaining control records; maintaining time and attendance records; and control point experience - The experience may have been obtained in private industry - local government - as a volunteer - etc. For more information on these qualification standards - please visit the United States Office of Personnel Management's website at https://www.opm.gov/policy-data-oversight/classification-qualifications/general-schedule-qualification-standards/.

Duties

  • Duties include - but may not be limited to the following: Screens and responds to telephone calls - visitors - and information requests while providing guidance consistent with FM policies Reviews and edits outgoing correspondence for clarity - grammar - accuracy - formatting - and policy compliance Manages calendars - schedules appointments - coordinates travel and conferences - and records/distributes meeting minutes Monitors personnel actions - coordinates with Human Resources - and tracks performance appraisals - evaluations - and due dates Processes employee clearances for resignations or transfers and prepares Resource Management Council (RMC) proposals Establishes and maintains filing systems - manuals - and background materials to ensure compliance with VA regulations and timely completion of FM reports Coordinates office supplies - equipment - reproduction - and medical media requests by assessing departmental needs and supporting ongoing operations Attends committee meetings - records and distributes minutes - tracks - follow-up action items - and ensures assigned tasks are completed Serves as the designated electronic timecard keeper by maintaining accurate timekeeping records and assisting staff with timekeeping questions and issues Work Schedule: Monday - Friday - 7:30am - 4:00pm Virtual: This is not a virtual position
