- The primary duties of the LMSA may include but are not limited to: Accepts telephone calls to the Medical Center/CBOCs regarding outpatient inquiries
- Utilizing \"administrative\" systems knowledge in assessing patient/caller needs - practices independent decision-making - coordinates care needs - and direct problem resolution as appropriate
- Utilizes computer technology to ensure continuity or care through accurate patient information - communication - and documentation
- Prioritizes and makes decisions based on the caller needs - forwarding calls to RN for patients/callers that potentially have an emergent or urgent care need Resolves or refers for resolution non-urgent outpatient care needs to designated Call Center Nurses and Pharmacy Staff
- Updates/verifies patient information/demographics and insurance information as needed
- Schedules/cancels/reschedules outpatient appointments in accordance with VHA national and local 'scheduling guidelines and consistently uses established documentation guidelines
- Acts as a patient advocate and tries to resolve patient needs to the best of their ability and/or notifies Manager of the Call Center of issues
- Provides training and/or orientation to new Medical Support Assistants as designated
- Participates in quality assurance activities of the call center program on an ongoing basis and recommends changes to improve the program when indicated
- Complies with all safety & fire prevention rules/regulations - using protective equipment when' required and provided
- Promptly reports all accidents and notifies supervisor of unsafe/unhealthful conditions in the workplace
- Attends scheduled training sessions and participates in facility or service- level safety promotions as directed by the supervisor - knows all fire drill and emergency plans for work area - including Ideation \"of all emergency fire equipment
- Anticipates problems and attempts to prevent their recurrence when possible
- Identifies procedural problems and with other team members - brainstorms to implement a change if warranted
- Distributes and balances the workload among employees in accordance with established workflow or job specialization - assures timely accomplishment of the assigned workload - and assures that each employee has enough work to keep busy
- This involves actively monitoring GNA V for Breaks and time in Work Mode and taking steps to address with staff if performance expectations are not being met
- Estimates and reports on expected time of completion of work - maintains records of work accomplishments and times expended and prepares production reports and meeting minutes as requested and within the assigned time frame
- Utilizes time efficiency and effectively in the completion of assigned reports - meeting minutes - and other assignments
- Work Schedule: Sunday - Saturday 3:30 pm - 12:00 am - every other weekend and every other Holiday
