Qualifications
To qualify for this position - applicants must meet all requirements by the closing date of this announcement - 06/15/2026. Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-4 position you must have served 52 weeks at the GS-3. The grade may have been in any occupation - but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year - it may not clearly demonstrate you possess one-year time-in-grade - as required by the announcement. In this instance - you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment. You may qualify based on your experience and/or education as described below: General Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-3 in the normal line of progression for the occupation in the organization. Examples of general experience would typically include - but are not limited to: Progressively responsible clerical - office - or other work that indicates ability to acquire the particular knowledge and skills needed to perform the duties of the position to include knowledge of standard formats - forms - grammar - spelling - capitalization - and punctuation in order to perform a wide variety of record keeping - correspondence - and tracking operations; ability to communicate properly to coordinate record transfer - record follow-up - and record scanning and indexing functions with clinical and administrative team members; and the ability to type and use computer skills to carry out duties associated with transferring information and maintaining a record request file. OR - Combination: Applicants may also combine education and experience to qualify at this level. Duties
- This position is responsible for the maintenance of accessible records and providing efficient service for direct and indirect patient care by managing the receipt and scanning of health documents in a timely and accurate manner
- Major duties include - but are not limited to: Maintain knowledge of medical and legal terminology - medical records structure - components - document requirements and knowledge of the entire medical record workflow
- Manage filing sequence of both administrative and medial records is necessary to properly scan - index and perform quality assurance of information into VISTA applications
- Analyze documents for classification - indexing - further screening of and prioritizing non-VA Medical reports to be scanned
- Identify and suggest solutions to problems with the imaging of record documents
- Assist in training staff members - trouble-shooting problems - and assisting with tasks during job vacancies and employee's absence Confirm and validate documents are properly labeled with patient identification on each page and indexed to correct patient in Vista Imaging
- Integrate all necessary health and administration into Vista Imaging
- Provide Quality control on scanned and administrative documents that are scanned or imported into Vista Imaging
