The OpportunityThe firm is seeking an Executive Assistant to provide comprehensive administrative and operational support to partners, counsel, associates, and staff attorneys. This position is based in the DC office and follows a hybrid in-office/remote schedule. Key ResponsibilitiesManage standard administrative functions, including handling phone calls, routing mail, maintaining files and records, managing attorney calendars and time entries, and preparing expense reports.Anticipate attorney needs by proactively identifying potential conflicts or issues and offering solutions.Prepare engagement letters, new client and matter memoranda, and maintain client/matter records to support business intake processes.Maintain tracking systems, particularly related to billing and new business matters.Handle document preparation, including editing, redlining, PDF creation, conversions, and quality control.Coordinate with the billing department to ensure accurate and timely client invoicing.Deliver high-level client service with responsiveness and professionalism.Support business development efforts through activity tracking, contact maintenance, and mailing list coordination.Utilize tools such as Excel and PowerPoint to support attorney work.Coordinate complex travel arrangements, including visa support where required.Process vendor invoices and monitor payments to ensure timeliness.Delegate tasks to appropriate departments and oversee completion and accuracy.Provide limited personal administrative support to attorneys as needed.Coordinate with technology support to ensure proper functioning of software and hardware.Assist with additional administrative tasks, including printing, scanning, quality control, and package delivery.Manage special projects and ensure all work meets professional standards.Maintain confidentiality, professionalism, and responsible use of firm resources.Adhere to firm policies and procedures and perform additional duties as assigned.QualificationsProficiency in Microsoft Office applications (Word, Outlook, Excel, PowerPoint) and the ability to learn new systems quickly.Strong written and verbal communication skills.Exceptional attention to detail.Ability to manage multiple priorities in a fast-paced environment.Strong organizational skills and the ability to work both independently and collaboratively.Ability to work in-office at least four days per week.Ability to handle sensitive and confidential information with discretion.High level of professionalism and flexibility to support evolving business needs.Physical capability to perform administrative tasks, including extended sitting and light lifting (up to 10 pounds).Education & ExperienceHigh school diploma or equivalent required; Bachelor’s degree preferred.Minimum of three years of experience in an office environment or equivalent combination of education and experience.Culture & Work EnvironmentThe firm fosters a collaborative, inclusive culture that values professionalism, excellence, and teamwork.
