What are the responsibilities and job description for the Program Coordinator position at Tygart Valley United Way?
Under the general supervision of the Community Impact Director, this position is responsible for the management of the Volunteer Income Tax Assistance (VITA) program and the THRIVE AmeriCorps Program.
Essential Functions
THRIVE AmeriCorps
- Develops and implements a comprehensive Member recruitment and interviewing process.
- Oversees candidate selection and site placement to ensure all Member candidates fit position requirements.
- Onboards selected Members and oversee all NSCHC requirements are met.
- Designs, implements, and refines Member onboarding training and organizes regular training and professional development opportunities throughout the service year.
- Manages AmeriCorps Member mid-year and end-of-year evaluations, corrective action, and grievance processes.
- Manages and oversees Member time tracking.
- Maintains organized Member files- both paper and electronic.
- Recruits, onboards, and manages all VITA AmeriCorps Members.
- Ensures VITA Site Supervisors are properly trained, and all Member duties are allowable.
- Complete National Service Criminal History Check course yearly.
VITA
- Leads strategy and design of United Way’s free tax preparation efforts, leveraging virtual strategies and working to break down barriers for community members in accessing services.
- Designs, plans, manages, evaluates, and improves all elements of United Way’s VITA/EITC program; mobilizes community partners and oversees volunteers; and serves as a liaison between United Way and community partners, funders, and clients.
- Executes marketing and outreach efforts, ensures compliance with all IRS VITA Program policies; recruits, trains, and supervises operational and volunteer activities at multiple tax sites during tax season; produces internal and external program reports.
- Develops innovative strategies to increase uptake of free tax preparation services, particularly for low-income families and BIPOC communities, and improve quality of services provided.
- Annually completes required IRS VITA certifications.
- Ability to learn and understand general tax law to support volunteers, site coordinators, and clients.
- Serves as a primary point of contact for clients and volunteers to address questions or concerns. Responds to routine telephone and e-mail inquiries and correspondence in a timely manner.
- Provides management support to both volunteers and sites, ensuring appropriate coverage for each shift (i.e. on-call site management).
- Oversees and manages VITA site establishment and closeout policies and procedures, inventory and maintenance of site supplies and technology, and other required materials.
Special Events and Activities
- Participate in internal meetings and trainings.
- Participate in United Way campaign and agency events, activities, and programs.
- Some travel required.
- At times, staff will be required to perform additional duties beyond those specified.
Skills/Qualifications
- Bachelor’s degree or relevant experience in social welfare, public policy, accounting/finance, or related field is desired but not required.
- At least two years of progressively responsible program management experience in a nonprofit or human services environment preferred.
- Strategic thinker, skilled planner, collaborative problem solver, outcome oriented.
- Strong organizational, time management, interpersonal, and communication skills.
- Strong computer skills (MS Excel, video communications, TaxSlayer, etc).
- Able to work well with diverse populations of clients and volunteers.
- Ability to respond to sensitive inquiries or complaints in a professional and confidential manner.
- Effectively work in a team-based environment.
- Experience with the VITA Program, tax preparation, and/or AmeriCorps is not required, but highly valued.
- Must have a valid driver’s license and access to transportation throughout the workday.
- Must be available to work flexible hours as needed, including evenings and weekends.
- Able to satisfactorily pass a Criminal History Check
Salary
- $38,000 per year
