Position Overview
We are seeking an experienced, organized, and service-driven Events Manager to lead the planning, coordination, and execution of private and public events across a fast-paced hospitality and entertainment campus. This role is responsible for overseeing the full lifecycle of private events—from sales inquiry through execution—while ensuring operational excellence, strong client relationships, and seamless collaboration across departments.
The ideal candidate thrives in high-volume environments, balances hospitality with operational precision, and has a strong background in event sales, logistics, team leadership, and guest experience management.
Key Responsibilities
Event Sales & Client Relations
- Serve as the primary point of contact for all private event inquiries through Tripleseat, ensuring timely communication and adherence to established SOPs.
- Generate new private event business through promotional outreach, community engagement, partnerships, and direct-to-consumer initiatives.
- Conduct site tours with prospective clients and guide event planning conversations to align guest expectations with operational capabilities.
- Create contracts, secure deposits, and ensure all financial obligations are completed prior to event execution.
- Collect and confirm all final event details at least two weeks prior to scheduled events within Tripleseat.
Event Planning & BEO Management
- Own the development, accuracy, and execution of all Banquet Event Orders (BEOs) for private events.
- Deliver finalized BEOs to Food Hall and Kitchen leadership two weeks prior to events each Thursday.
- Lead weekly BEO review meetings with the Events Coordinator to evaluate upcoming events and operational readiness.
- Coordinate closely with internal departments to align staffing, catering, beverage service, AV requirements, room layouts, and event timelines.
Event Execution
- Oversee onsite execution of private events, including setup, guest greeting, vendor coordination, pacing, troubleshooting, and breakdown.
- Support early-day event operations on Fridays and Saturdays, ensuring proper coordination with catering and culinary teams.
- Provide effective communication and transition support to the Special Events Coordinator for evening event execution.
- Assist with public events and campus activations including festivals, car shows, ticketed experiences, and seasonal programming.
Team Leadership & Staff Management
- Directly supervise and support the Events Coordinator, ensuring timely completion of event preparation and administrative responsibilities.
- Provide coaching, accountability, performance feedback, and operational guidance to event support staff.
- Collaborate with Campus Management to coordinate staffing needs for private events.
- Develop, maintain, and improve SOPs related to event sales, planning, communication, and execution.
Administrative & Operational Responsibilities
- Prepare and distribute weekly private event financial reports by Wednesday.
- Submit weekly tip reporting documentation to HR.
- Oversee event-related inventory including beer, wine, soda, and operational supplies alongside the Events Coordinator.
- Ensure all event spaces, storage areas, and support spaces remain organized, functional, and guest-ready.
- Partner with catering and culinary leadership to ensure menu execution aligns with client expectations and BEO specifications.
Cross-Department Collaboration
- Maintain consistent communication across Food Hall, Kitchen, Campus Management, and Catering teams.
- Serve as the liaison between bartending staff and catering teams to ensure beverage service readiness.
- Support the Sr. Campus Event Manager with designated public events, including vendor management, staffing coordination, setup/breakdown oversight, and event-day leadership.
Qualifications:
Qualifications
- 3–5 years of event management, hospitality, catering, or venue operations experience.
- Experience managing private events, corporate functions, weddings, and large-scale public events preferred.
- Strong working knowledge of Tripleseat or similar event management software.
- Proven ability to manage multiple events and deadlines simultaneously in a fast-paced environment.
- Strong leadership, communication, organizational, and problem-solving skills.
- Ability to work evenings, weekends, and holidays as required by event schedules.
- Experience collaborating with culinary, beverage, and operations teams preferred.
