*** We are looking for an Rental/Warranty Administrator (possibly Rental Fleet/Asst. Service Administrator) to join our team at Twin Pine Ford. Would be a great opportunity for a former/retired Service Writer or Mechanic who is looking for a way to stay in the auto repair industry in a similar capacity.***
ESSENTIAL JOB FUNCTIONS:
· Handle customer complaints with integrity and poise
· Assist service and parts customers as needed. Be able to back up repair order invoice clerk
· Files and maintains all service records as required by the warranty company.
· Negotiating disputed claims with claim analysts with management involvement when needed
· Review warranty repair orders for proper completion, accuracy, and legibility according to the applicable policies and procedure manuals
· Follows up on payment of outstanding claims
· Qualify each customer using our company rental requirement guidelines
· Reconciles all warranty receivables and works with the accounting department to obtain payments
· Answer the phones to assist customers in a professional, friendly, helpful and prompt manner
· Call customers to verify satisfaction concerning the service received
· Responsible for rental arrangements, respond to client inquiries, and validate customer information
· Follow up with clients as needed with quotes and rental information
· Explains the conditions of rental contract and completes all required paperwork with customer
· Ensures the customer has proof of insurance and valid driver’s license
· Takes customer to the vehicle to identify the existing irregularities and scratches and shows customer the special features of the vehicle
· Checks mileage, fuel level and performs damage inspection when vehicles return
· Coordinates the pickup and delivery/return of customer vehicles for service.
· Other office related work as assigned
Other JOB FUNCTIONS to include but not limited to while working with the Service Manager and Warranty company to:
Close Ford warranties in Tekion; check labor and parts.
Close Ford warranty in OWS. Must be edited for claim to be submitted to Ford.
Log into FMCdealer OWS and check for payment.
Helping to create warranty claims to be submit warranty claim to Ford for approval when needed.
Call customers to verify satisfaction concerning the service received.
Send paperwork to Ford for OWS audit.
Check RO’s in Tekion for closure. File completed RO’s
Perform the Ford reconciliation in Tekion; post in accounting.
Manage employee names in FMCdealer and STARS to enter and remove as needed.
Submit and collect payments for fleet claims, ARI, OE Connection, Element, miscellaneous.
JOB KNOWLEDGE, SKILLS, & ABILITIES:
Knowledge of Ford Motor Company Warranty Guide would be a plus.
Ability to work with Ford’s and Twin Pine Ford online systems.
Ability to process Ford warranties in Tekion.
Ability to read well and follow instructions or directions.
Proficient in automotive terminology.
Able to multitask with people and software.
Able to function under pressure and challenges.
Ability to problem solve by following logic.
Good conversation skills.
