Job Overview
Twin Arbor Labs is seeking a highly meticulous and dedicated Bookkeeper to join our team as our first dedicated internal accounting professional. In this critical role, you will be the backbone of our financial operations, taking ownership of everything from daily ledger management, running AP and AR accounts, and invoicing, to payroll and procurement. Because financial and inventory mistakes are costly, we are looking for a professional who prides themselves on exceptional attention to detail and accuracy. You will leverage accounting software to streamline our finances, administer the financial side of employee benefits, and ensure our laboratory always has the supplies it needs to operate efficiently.
Duties
- Financial Management: Maintain accurate and up-to-date financial records and ledgers. Take full ownership of running Accounts Payable (AP) and Accounts Receivable (AR) accounts, which includes generating and sending outgoing invoices to clients.
- Payroll Processing: Accurately calculate, process, and distribute employee payroll on a strict schedule while ensuring compliance with all relevant tax laws and regulations.
- Benefits Administration: Manage the financial side of employee benefits, including the accurate processing and reconciliation of 401(k) contributions and health insurance premiums.
- Inventory & Procurement: Monitor laboratory and office inventory levels, generate purchase orders, and coordinate procurement to ensure operational continuity without overstocking.
- Reconciliation & Reporting: Perform regular bank and credit card reconciliations, spot discrepancies immediately, and generate monthly financial reports for the executive team.
- Vendor Management: Maintain relationships with suppliers, manage vendor invoices, and ensure timely payments.
Skills
- Software Proficiency: Demonstrated hands-on experience navigating and utilizing accounting software for financial and operational management. While experience with the Zoho software ecosystem (Zoho One, Zoho Books, Zoho Inventory) is a nice-to-have, strong knowledge of QuickBooks will also be considered.
- Extreme Attention to Detail: A proven track record of maintaining high accuracy in data entry, financial calculations, and inventory tracking, with a clear understanding of the cost of errors.
- Payroll & Benefits Expertise: Prior experience managing payroll processing and handling the financial mechanics of 401(k)s and health insurance plans.
- Procurement Logistics: Strong organizational skills related to inventory management, supply chain tracking, and procurement purchasing.
- Accounting Fundamentals: A solid understanding of GAAP (Generally Accepted Accounting Principles), standard bookkeeping practices, and financial reporting.
- Problem-Solving: The ability to independently investigate discrepancies, audit financial trails, and correct errors proactively.
Education & Experience Requirements
- Education: Associate’s or Bachelor’s degree in Accounting, Finance, Business Administration, or a closely related field. (Extensive, proven bookkeeping experience may be substituted for a formal degree).
- Experience: 2 to 4 years of dedicated bookkeeping or accounting experience.
- Payroll & Benefits Experience: Minimum of 1-2 years directly handling payroll processing and employee benefits administration (health insurance and 401(k) deductions/reconciliations).
- Preferred Qualifications: Previous experience using the Zoho software ecosystem is a nice-to-have, but candidates with strong QuickBooks experience are highly encouraged to apply. Experience working in a laboratory, manufacturing, or inventory-heavy environment is a strong plus.
Compensation & Benefits
- Salary: $50,000 - $55,000 per year, commensurate with experience.
