Position Summary
The Purchaser is responsible for purchasing, receiving, organizing, distributing, and maintaining inventory of facility supplies. This position also provides receptionist coverage as needed and coordinates primary care provider appointments for residents discharging from the facility.
The successful candidate must be highly organized, dependable, and able to manage multiple priorities in a fast-paced skilled nursing environment. This position reports directly to the Administrator.
Essential Duties and Responsibilities
Purchasing and Inventory
- Order facility supplies according to approved purchasing procedures and departmental needs.
- Obtain pricing, compare vendors, and identify cost-effective purchasing options.
- Track purchase orders, deliveries, backorders, discrepancies, and returns.
- Receive deliveries and verify supplies against packing slips and purchase orders.
- Unload, move, organize, and distribute boxes and supplies throughout the facility.
- Maintain clean, orderly, and properly labeled storage areas.
- Monitor inventory levels and replenish supplies before shortages occur.
- Conduct routine inventory counts and maintain accurate inventory records.
- Monitor supply usage and report unusual utilization, shortages, or purchasing concerns to the Administrator.
- Work with department directors to confirm supply needs and prevent unnecessary or duplicate orders.
- Ensure invoices, packing slips, credits, and purchasing records are submitted and maintained appropriately.
- Follow facility procedures related to vendor access, infection prevention, safety, and storage.
Discharge Appointment Coordination
- Schedule primary care provider appointments for all residents discharging from the facility.
- Coordinate with nursing, social services, case management, residents, families, physician offices, and transportation providers as needed.
- Ensure appointments are scheduled within the required or recommended post-discharge time frame.
- Document appointment dates, times, locations, provider information, and special instructions.
- Communicate appointment information to the resident, responsible party, and appropriate facility staff before discharge.
- Maintain a tracking system to verify that every applicable discharge has a PCP appointment or documented explanation when an appointment cannot be secured.
- Promptly escalate appointment barriers to the Administrator and appropriate interdisciplinary team members.
Receptionist Coverage
- Provide front-desk and receptionist coverage as assigned or when the regular receptionist is unavailable.
- Answer and direct telephone calls professionally.
- Greet visitors, residents, families, vendors, and healthcare professionals.
- Assist with visitor sign-in and follow facility screening and access procedures.
- Receive deliveries, messages, and documents and route them to the appropriate department.
- Maintain confidentiality and provide courteous, professional customer service.
Required Qualifications
- High school diploma or equivalent.
- At least one year of relevant experience in purchasing, inventory, supply management, office administration, healthcare, or a related position.
- Strong organizational, time-management, and multitasking abilities.
- Ability to prioritize assignments and meet deadlines with minimal supervision.
- Basic computer skills, including email, spreadsheets, electronic ordering systems, and data entry.
- Strong written and verbal communication skills.
- Ability to maintain accurate records and pay close attention to detail.
- Ability to interact professionally with residents, families, staff, vendors, physician offices, and visitors.
- Ability to maintain confidential resident, employee, and business information.
Physical Requirements
- Must be able to lift and carry at least 25 pounds.
- Must be able to unload, move, open, organize, and distribute boxes and supplies.
- Must be able to bend, reach, push, pull, stand, walk, and perform repetitive movements as required.
- Must be able to sit or stand for extended periods.
- Must be able to safely use carts or other available equipment to transport supplies.
