Provides administrative and secretarial support to management teams of services throughout Patient Care Services (PCS) at the Tuscaloosa Veterans Affairs Medical Center (VAMC).

Qualifications:

To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 04/21/2026.

Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-7 position you must have served 52 weeks at the GS-6 grade level. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.

You may qualify based on your experience as described below:
  • Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-6 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Editing and composing letters, records, and transcribing committee minutes, preparing reports, reviewing correspondence for accuracy and completeness, preparing public presentation outlines, developing standard or form letters and replies to inquiries; has contact with Veterans and their family members and provides public contact support services (general and specialized) to include answering telephones, referring visitors and providing information about the agency; Ensuring confidentiality of records and sensitive information is maintained at all times within the established facility requirements.

Responsibilities:

The Incumbent receives schedules, refers, and contacts members of the staff, agency, and persons outside the agency ranging from other government agencies to the general public.
  • Is regularly involved in high level contacts with visitors and callers from such organizations as: congressional offices, members of the news media, state and local officials, and high-ranking officials in the field or industry, publication groups, attorneys, presidents of major national or international firms or organizations, and/or leading representatives of foreign governments.
  • Has contact with Veterans and their family members and provides public contact support services (general and specialized) to include answering telephones, referring visitors and providing information about the agency.
  • Responsible for processing incoming and outgoing materials such as correspondence, reports, memoranda, and other forms of written communication.
  • Edits letters, composes letters, records, and transcribes committee minutes, prepares reports, reviews correspondence for accuracy and completeness, prepares public presentation outlines, develops standard or form letters and replies to inquiries.
  • Schedules appointments, coordinates meetings, and/or schedules conferences for Service Line Management Team.
  • Schedules all interviews for candidates to positions within the respective Service Line.
  • Provides research and background information on the subject matter of meetings without direction.
  • Incumbent acts as the Service Records Control Liaison and is responsible for maintaining office and administrative files in accordance with the established VA system of records control directive.
  • Serves as the senior timekeeper for the respective Service Line Management Team and as a backup timekeeper for other Service Lines.
  • Prepares and maintains appropriate forms for human resources actions to include preparing HR forms and SF 52's for separation, recruitments, change in pay status, change in name, etc.
  • Performs other related duties as required.
Work Schedule: Monday - Friday, 7:30am to 4:00pm. Work schedule subject the change due to agency needs.
