Patient Access Specialist

Pay Range: $17.00 to $21.25 hourly

Serve as the welcoming face of Health Services in a fast-paced, patient-centered environment. This role blends front-line customer service with essential clinical support—guiding patients through registration, scheduling medical, dental, and behavioral health appointments, and ensuring accurate records and insurance information. You’ll manage multi-line communications, coordinate care needs, and support providers through electronic health systems, while also playing a hands-on role in patient education and retinal imaging for diabetic care. What does a Patient Access Specialist do?

• Greets clients and visitors of the Health Services in a friendly and professional manner and facilitates the patient registration process.
• Provides the necessary forms and assists clients in completing paperwork as necessary.
• Collects and maintains all patient demographic data and updates information at each appointment.
• Upon intake, obtains copies of all insurance cards and enters information into the database; identifies any discrepancies and updates the system accordingly.
• Schedules and confirms medical appointments, dental and behavioral health; tracks no shows and cancellations utilizing a computerized scheduling system.
• Answers multi-line telephone, screens calls according to guidelines, and directs calls to appropriate Health Services staff. Also completes accurate tasking to appropriate staff utilizing our Electronic Health Record system.
• Identifies alternative resource needs and refers to the Alternate Resource Specialist as necessary.
• Obtains prescription refill information from automated Rx line, logs the call, and routes them to appropriate nurse for PCP.
• Maintains the waiting area environment, ensuring that it is neat, clean, safe, and free from environmental hazards.
• Participates in Health Services committees as assigned by Patient Access Manager.

• Adheres to all Oneida Nation Health Services Security and Confidentiality policies and procedures in regards to all daily job functions, and receives annual update training regarding each area.
• Use and understanding of JVN and Electronic Medical Record Software.
• Performing photographic procedures with Topcon NW6S for producing retinal images.
• Ability to distinguish normal and abnormal retinal variations of images taken.
• Patient education regarding diabetic retinopathy and need for retinal imaging.
• Maintain an accurate year-to-date log of the diabetic patients and date of JVN/diabetic eye exam was completed and when patient is due for yearly diabetic eye exam/imaging screening.
• Receive reports from IHS for completed JVN and submit them to HIM for scanning for provider review and billing purposes.

To be successful as a Patient Access Specialist, you'll need:

• High School Diploma.
• At least one year of medical scheduling experience in a family practice setting.
• Proficient in medical terminology, knowledge of computers and excellent data entry skills.
• Ability to multi-task in a fast-paced environment and work effectively both independently and as part of a team.
• Ability to communicate with patients, patients’ families, co-workers, and providers in a professional, respectful and courteous manner.
• Ability to maintain strict confidentiality.
• Must be dependable and flexible in their work schedule.
• Ability to stand/walk for long periods of time and lift up to 11 - 20 pounds.
