Work Schedule: Monday – Thursday | 10:00 AM – 4:00 PM (24 hours/week)
Position Summary
We are seeking a detail-oriented and empathetic Customer Service & Administrative Coordinator to join our Medicare-focused insurance office. This role is the "face" of our practice, serving as the primary point of contact for seniors and their families. You will balance front-facing client support with essential back-office administrative tasks to ensure our office runs smoothly and our clients feel supported in navigating their healthcare options.
Key Responsibilities
Customer Support & Advocacy:
- First Point of Contact: Greet clients warmly via phone and in person, answering general questions about Medicare enrollment and office services.
- Appointment Management: Schedule and confirm consultations; manage the agent’s calendar to maximize efficiency.
- Issue Resolution: Listen to client concerns regarding claims or billing and coordinate with agents to find solutions.
Administrative Operations:
- Data Management: Accurately enter and update client information in the CRM system.
- Document Processing: Assist with the preparation of enrollment packets, scanning sensitive documents, and maintaining HIPAA-compliant digital files.
- Office Maintenance: Manage incoming/outgoing mail, monitor office supplies, and ensure the reception area is professional and welcoming.
- Compliance: Maintain strict confidentiality and adhere to all CMS (Centers for Medicare & Medicaid Services) and HIPAA regulations.
Qualifications
- Experience: 1–2 years in customer service or administrative roles (experience in healthcare, insurance, or senior services is a major plus).
- Communication: Exceptional verbal and written communication skills with a "service-first" attitude.
- Tech-Savvy: Proficiency in Microsoft Office (Word, Excel, Outlook) and comfort learning new CRM software.
- Reliability: Since this is a specialized schedule, punctuality and consistency during the 10 AM–4 PM window are essential.
- Soft Skills: High level of patience and empathy when working with the elderly population.
