As Executive Assistant, you’ll serve as the CEO’s strategic partner and a steady force for alignment and order across the Birmingham office, providing light support to four senior leaders. You’ll bring structure to fast-moving priorities, foster cohesion, and help modernize operations through a tech-forward, process-minded approach.

  • Keeps the physical office running smoothly—maintaining harmony, organization, and a welcoming atmosphere that reflects the company’s people-first culture
  • Is tech-savvy and eager to help modernize processes through tools like CRM, Excel, and TripIt
  • Exercises discretion, confidentiality, and professionalism in all communications
  • Is dependable, detail-oriented, and capable of executing tasks with minimal oversight

  • Demonstrates strong written and verbal communication skills and thrives in a collaborative environment
  • Lives in or is willing to relocate to Birmingham, AL

  • Key Responsibilities
    • Provide support to CEO and other team members
    • Provide comprehensive executive and administrative support to the CEO and senior leadership team
    • Manage complex calendars, travel logistics, and meeting coordination with precision and foresight
    • Oversee day-to-day office operations for the Birmingham location, ensuring an organized, professional, and welcoming environment
    • Prepare meeting materials, agendas, minutes, and follow-up action items to keep initiatives on track
    • Maintain digital systems for scheduling, documentation, and project tracking
    • Support company culture through coordination of team events, celebrations, and internal communications
    • Serve as a liaison across departments, vendors, and external partners—fostering alignment and collaboration
    • Provide light personal assistance for the CEO, including scheduling, errands, and vendor coordination
    • Uphold confidentiality, professionalism, and a proactive approach to anticipating needs


    Position Requirements

    Education

    • Bachelor’s degree or equivalent (preferred)

    Work Experience

    • 5 years of experience in an administrative or executive support role (required)


    Work Environment & Compensation
    • Location: In-person, Birmingham, AL
    • Expected Start Date: December 1, 2025
    • Hours: Monday–Friday, 7:30 AM–4:30 PM CST (flexibility required as needed)
    • Salary: $65,000–$80,000
    • Relocation: Packages available for highly qualified candidates
    • Travel: Occasional (a few times per year, typically 1–2 overnights)
    • Benefits: Comprehensive package (details provided to finalists)
    • Requirements: Valid driver’s license and personal vehicle
    • Work Authorization: Must be authorized to work in the U.S. without sponsorship

    Salary : $65,000 - $80,000
