Job Summary
The Intake Specialist is responsible for managing the “front of the funnel” for the firm. This role involves high-volume lead handling, conducting detailed interviews to assess case merits, and utilizing persuasive communication to guide potential clients through the onboarding process. You will not only gather information but also “sell” the value of our firm to ensure potential clients feel confident in choosing us for their legal needs.
Responsibilities:
- Act as the primary responder for all incoming inquiries via phone, email, text, and online forms
- Persuasively explain the firm’s value proposition to potential clients, addressing objections and guiding them through the sign-up process
- Follow up diligently with leads and uncooperative prospects to maximize conversion rates
- Assist with the preparation, delivery, and follow-up of retainer agreements to ensure prompt signatures and successful onboarding
- Conduct thorough, empathetic interviews to gather essential details regarding personal injury claims
- Screen leads against firm-specific criteria to determine if a case should be moved forward for attorney review
- Accurately enter all lead and client data into the firm’s case management system to ensure no information is lost
- Monitor case milestones and deadlines during the intake phase to ensure a seamless handoff to the legal team
- Additional administrative tasks as assigned to support the firm.
Qualifications:
- Experience in a call center, sales, or high-volume intake environment is highly preferred
- Ability to balance empathy for potential clients with the assertiveness required to close a lead
- Comfort using case management software and multi-line phone systems
- Ability to manage multiple priorities and follow up on leads daily without losing track of details
- Ability to work in-office full-time
- Exceptional interpersonal skills, specifically the ability to handle sensitive subject matter with discretion and empathy
