MISSION OF THE POSITION
The Shipping and Receiving Clerk manages the flow of goods in and out of the warehouse, ensuring that shipments are processed accurately and efficiently. This position oversees the inspection, documentation, and storage of incoming products, as well as the preparation and shipment of outgoing orders. Additionally, they track inventory, coordinate with carriers and vendors, and address any discrepancies or issues to ensure smooth operations and timely deliveries.
ESSENTIAL DUTIES
Shipping and Receiving

Monitors the status of outgoing shipments to ensure they are delivered on time and follow up with carriers on delays or issues.

Creates and maintains shipping logs, bills of lading, invoices, and other required paperwork for outbound shipments.

Ensures that inventory is properly tracked and update inventory systems for goods shipped out.

Provides customers or internal teams with updates on order status, delivery times, and any shipping issues.

Checks received goods for damage, discrepancies, or defects, and verify them against purchase orders or shipping documentation.

Organizes and packs goods for shipping, ensuring proper labeling, documentation, and packaging according to company and regulatory standards.

Works closely with other departments such as procurement, sales, and customer service to ensure smooth operations.

Inspect trucks with BOI to verify accuracy before a truck departs.
Inventory

Maintain accurate records of inventory levels in the warehouse, reporting any discrepancies between physical stock and system counts.

Participate in or lead regular inventory counts to ensure proper stock levels and to help identify and resolve any discrepancies.

Logs all incoming and outgoing shipments into the company’s inventory system and maintains accurate records of received goods.

Ensures that received products are properly stored in designated areas, following safety and inventory control procedures.
Reporting

Maintain accurate records for shipping and receiving, ensuring documentation is complete and readily accessible for audits.

Update shipping and receiving logs, and inventory management systems with relevant details, ensuring accuracy and timeliness.
REQUIRED SKILLS / ABILITIES
A Shipping Clerk can perform efficiently in a warehouse and dispatch environment by handling incoming and outgoing deliveries.

COMPETENCIES
EDUCATION
• Should have a basic diploma or GED equivalent.
• Knowledge of computer applications, basic mathematics and computer skills.
• A degree in business or related field is a bonus.
CERTIFICATIONS & LICENSES
• Valid state motor vehicle operator’s license.
• Certification to operate warehouse machinery such as forklifts.
EXPERIENCE
• Should have some experience in dispatch and warehouse activities.
• Experience with spreadsheet and database software like Microsoft Excel.
• One- or two-year’s experience working in the same position.
• Should also have at least one-year supervisory experience in a warehouse environment.
• Experience working and standing for long periods.
• Experience in retail, manufacturing or relevant is an added advantage.
