Responsibilities
- Oversee daily office operations, including front desk management, multi-line phone systems, and calendar scheduling for staff and executives
- Manage vendor relationships, negotiate contracts, and coordinate procurement of office supplies and equipment
- Supervise administrative staff and provide training & development opportunities to enhance team performance
- Coordinate event planning for meetings, company functions, and community outreach initiatives
- Handle human resources functions such as onboarding new employees, maintaining personnel files, and supporting payroll processing using QuickBooks or similar accounting software
- Maintain accurate bookkeeping records, manage budgets, and oversee filing systems to ensure compliance and organization
- Oversee medical or specialized office management tasks if applicable, including patient or client recordkeeping and appointment scheduling
- Ensure effective communication across departments through clear documentation, email correspondence, and team meetings
Experience
- Proven supervising experience in an office or administrative environment with demonstrated leadership capabilities
- Strong background in office management with proficiency in QuickBooks or comparable financial software
- Experience in event planning, vendor management, and budget oversight
- Familiarity with human resources procedures including onboarding, payroll processing, and employee relations
- Prior clerical and administrative experience within a professional setting; medical office management experience is a plus
- Excellent communication skills coupled with organizational prowess to manage multiple priorities efficiently
- Hands-on experience managing front desk operations, multi-line phone systems, calendar management, filing systems, and general office procedures
