What You’ll Be Doing:
This is a high-ownership, leadership role for someone who thrives on organization, accountability, and getting things done. You’ll be the air traffic controller of the business, running our schedule, handling office systems, and supporting both clients and crews behind the scenes.
Daily Responsibilities:
- Work closely with leadership team to facilitate the flow of day-to-day operations
- Manage scheduling and dispatching for all services
- Adjust routes as needed based on weather, crew availability, or client requests
- Input jobs into Service Autopilot and ensure all visits are properly recorded
- Audit hourly services and process weekly client payments
- Review daily crew performance and hours using our vehicle GPS system
- Handle weekly payroll and timesheet management through Gusto
- Track accounts receivable and follow up on overdue invoices
- Interview potential candidates and onboard new employees
- Maintain up-to-date HR documents and office compliance
- Answer phone calls, emails, and web inquiries from existing clients (non-sales related)
- Take initiative to prepare for future needs
- Order supplies and equipment
- Support Owner with reports, forms, and process improvements
- Build and send welcome packets, quotes, and seasonal marketing emails
- Occasionally help prepare client referral campaigns or survey follow-ups
What You’ll Bring to the Team:
- Experience with office management, scheduling, or dispatch (lawn care/field service preferred)
- Confidence using software like Service Autopilot, Gusto, Google Drive, or similar platforms
- Sharp attention to detail and ability to manage multiple responsibilities
- Strong verbal and written communication skills
- Ability to work independently and own outcomes
