The Customer Service Representative is responsible for delivering timely, accurate, and professional support to customers across multiple communication channels. This role manages inquiries related to pricing, product availability, order status, changes, cancellations, complaints, returns (RGA), and sample requests, ensuring a seamless and positive customer experience.
- Provide high-quality customer service to both internal and external customers.
- Respond to customer inquiries promptly, professionally, and accurately across all communication channels (phone, email, systems).
- Communicate product availability, pricing, delivery timelines, and order status updates.
- Process customer purchase orders, sample requests, change orders, and cancellations with accuracy and attention to detail.
- Review and interpret customer requirements, prioritize requests, and prepare orders for system entry.
- Enter and maintain order information within company systems.
- Coordinate with internal teams to expedite orders, resolve delays, and manage delivery changes.
- Proactively communicate with customers regarding order updates, delays, pricing changes, and clarification needs.
- Follow up on open or pending inquiries to ensure timely resolution and customer satisfaction.
- Recommend alternate or substitute products when necessary to meet customer needs.
- Support issue resolution including complaints and returns (RGA processing).
- Perform additional duties as assigned.
- High school diploma or equivalent required.
- 3–4 years of experience in a customer service or administrative office environment.
- Strong verbal and written communication skills with the ability to interact effectively at all levels.
- Proficiency in phone-based customer support and data entry.
- General computer skills, including experience with order entry or ERP systems preferred.
- Strong attention to detail, organizational skills, and the ability to manage multiple priorities.
