Job purpose
The mission of the Tunnel to Towers Foundation is to honor the sacrifice of firefighter Stephen Siller who laid down his life to save others on September 11, 2001. We also honor our military and first responders who continue to make the supreme sacrifice of life and limb for our country. The Tunnel to Towers Foundation is committed to eradicating homelessness amongst our veterans.
This role is essential to maintaining compliance, operational efficiency, and risk management across our Veteran Facilities. The Administrator will ensure that all administrative and procedural aspects align with the Foundation standards and industry best practices. Highly organized and detail-oriented, the Administrator supports the Veterans Facilities Team. This role ensures smooth business operations by managing administrative tasks and vendors, overseeing compliance, and facilitating communication across the department with vendors.
The Administrator will play a key role in maintaining efficiency, mitigating risks, and supporting operational excellence in property management. They will review and optimize property budgets, ensuring resources are appropriately allocated to maintain the site. They will support and track our department’s effectiveness to ensure that routine maintenance (landscaping, pest control, etc.) and emergency repairs are promptly handled. They will also maintain relationships with quality contractors and ensure adherence to service standards.
The ideal candidate will possess strong organizational skills, attention to detail, and the ability to oversee critical office processes, vendor relations, and compliance tracking. They will also assist with financial documentation, scheduling, and quality assurance initiatives to support risk mitigation efforts across properties.
Duties and responsibilities
- Oversee office operations, ensuring efficient workflow and adherence to policies.
- Assist with compliance tracking, ensuring properties meet or exceed HUD NSPIRE & REAC standards.
- Maintain records of inspections, maintenance reports, and compliance audits.
- Support risk management initiatives by tracking issues related to security, vendors, and regulatory compliance.
- Arrange meetings, training sessions, and compliance-related spot checks.
- Coordinate property inspections, vendor assessments, and Veteran satisfaction surveys.
- Ensure documentation of safety protocols, legal updates, and risk mitigation strategies.
- Serve as a liaison for vendors, and internal teams regarding administrative and operational matters.
- Maintain clear and effective communication across departments, ensuring proper reporting of issues and resolutions.
- Assist in drafting reports related to budgeting, financial planning, and operational assessments.
- Track budgeting, vendor contracts, ensuring compliance with service agreements.
- Support budget monitoring by assisting in comparative budgeting and financial planning.
- Maintain property management software to enhance transparency in reporting.
- Assist with the development of emergency response plans and crisis management strategies.
- Ensure all documentation related to security breaches, maintenance concerns, and legal matters is updated and accessible.
Qualifications
- Bachelor’s Degree preferred

Working conditions

Job Type: Full-time
Pay: $60,000.00 - $70,000.00 per year
