Summary:

This position will work closely with the Health Director & directly report to the Health Director. The Executive Assistant is a crucial position that supports the needs of the health team and will, in turn, be one of the most strategic roles across the organization. The Executive Assistant will gain an understanding of the philosophy and approach to work with the Health Director and will partner with the other teams across the organization to provide seamless support.
The ideal candidate for this role demonstrates strategic thinking and an ability to develop new (and run existing) project management and organizational systems; tech savvy, shows empathy and poise; has no problem speaking the truth to power; is obsessively detail oriented and addicted to research and implementation of tasks; has multiple years of experience as an Executive Assistant; and is a team player in every way. The Executive Assistant must have the ability to work independently on projects, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion. An expert in innovation, time management, proactive & efficient direct communication, and flexibility.
Essential Duties and Responsibilities:
- Schedule meetings and manage complex calendars for the Health Director (who oversees entire bodies of work and business units and manages multiple projects, client relationships, patient relationships, and numerous teams at all times)
- Catalog the Projects the Health Director is responsible for and the progress of each project, so as to best leverage the Health Director’s time.
- Assess and prioritize all issues that require the attention of the Health Director and maintain proper record keeping and filing systems for all work.
- Provide strategic support to ensure that the Health Director has the time, resources, and materials needed to accomplish their goals.
- Train the Health Director on how to most effectively work with an Executive Assistant; find the most effective approach to work together.
- Execute requisitions/invoices for payment.
- Communicate regularly with the Health Director when they are in the office and working remotely or on travel, to ensure they are apprised of changes to their calendar or to the work of their teams.
- Keep the Health Director organized with meeting materials and immediate priorities (who needs what by when); this includes email inbox management and communication/response strategies.
- Manage all incoming email and messages across all social media channels on behalf of the Health Director, responding, organizing, and escalating priority messages when appropriate. Run errands on behalf of the Health Director to ensure their bandwidth is as leveraged as possible for key priorities of strategic importance to the organization.
- Research, identify and organize extensive lists of prospective investors, partners, entrepreneurs, etc., and reach out to them directly on behalf of the Health Director to schedule meetings and extend relevant invitations.
- Help to organize, plan, and manage small events when requested by the Health Director. Manage an often-changing calendar with internal and external parties utilizing multiple calendars.
- Manage a heavy travel schedule and arrange all of the Health Director’s travel in accordance with their preferences and schedule including upkeep of frequent flier accounts, flights, lodging, car service, physical activities, social engagements, business appointments, and special events, etc. as well as the arrangements for other accompanying parties, mostly utilizing online resources and anticipating many changes.
- When requested, sit in on meetings in person or virtually with the Health Director and take detailed notes, as well as communicate and manage follow-up from all parties involved
- Help manage the Health Director’s Department social media accounts including Facebook, Twitter, LinkedIn, Instagram, TikTok, etc.
- Develop and maintain an accurate contact database, ensuring personal notes and customized gifts are sent out to key contacts and relationships of the Health Director when appropriate (ex: birthdays, holidays, or thank you packages for mentors after they participate in a program)
- Welcome the Health Director’s guests by greeting them, in-person or on the telephone; answering or directing inquiries in a professional and personable manner.
- Prepare expense reports for the Health Director
- Assist with the office administration of the company (i.e., the mail, coordination on big events, and tactical company-wide emails)
- Assist with scheduling PR events, travel, speaking engagements, and other PR development tasks of the Health Director
- Maintains a comprehensive and up-to-date knowledge of operational procedures used throughout; knows the status of key situations or problems at any given time.
- Participates fully in discussions leading to the establishment of overall goals, objectives, and long-range plans.
- Recommends changes to existing procedures and programs to improve effectiveness, timeliness, productivity and cost efficiency of programs and functions.

Qualifications:

Education/Experience:
- Bachelors level College Degree in a field that has equipped the applicant with the general knowledge, skills, and abilities to successfully perform the duties of the position.
- OR a combination of eight (8) years of related administrative, health or clinic experience and/or training; or an equivalent combination of education and experience
- Two (2) or more years’ experience in an administrative role working with Tribal health entities, programs or services including, but not limited to:
- RPMS, EHR, clinic insurance and credentialing, clinical compliance, PL 638 ISDEAA and PL 94-437 IHCIA, third party billing, CMS, IHS Purchased and Referred Care, benefits administration, and federal policy experience and management.
- Experience in grant/contract administration and budgeting required.
Certificates and Licenses:
· Must possess a valid State Driver’s License and be insurable to drive company vehicles.
· Must successfully pass a criminal background check.
Supervisory Responsibilities:
Supervision over staff as assigned by the Health Director.
