POSITION SUMMARY: The Food Services Coordinator provides administrative, technical, and clerical support for the district’s Food Services program. This position is responsible for maintaining compliance with state and federal regulations, coordinating free and reduced-price meal applications, managing financial records, tracking employee time, ordering food and supplies, and serving as a liaison between Food Services, school staff, families, and external agencies. The Food Services Coordinator ensures the smooth operation of school meal programs and supports the department in delivering nutritious meals to students.
QUALIFICATIONS: High School Diploma or equivalent at the minimum; Associate of Arts degree preferred. Two years of successful office experience, preferably in an educational setting or applicable college or business school training. Demonstrated knowledge and use of computer programs, including Word, Excel, Windows PowerPoint, Publisher and Database experience. Ability to organize and file.
REQUIREMENTS:
- Possess knowledge and background in purchasing, billing, invoicing, accounting procedures and the coordination of those areas
- Strong skills in word processing, spreadsheets, and office software
- Possess excellent written, oral and interpersonal communication skills
- Self-directed and exhibit the ability to set priorities, work under pressure and meet deadlines
- Technical ability to operate and troubleshoot department-specific software (Skyward/Q, InTouch, School Dude and vendor ordering platforms)
- Maintain a high level of confidentiality
- Possess organizational skill with attention to details
- Ability to perform work independently with minimum supervision
- Ability to coordinate day-to-day operations of the Food Services department
- Ability to maintain accurate records and generate computerized reports
- Ability to establish and maintain effective working relations with staff and the public
- Ability to function in a calm, efficient, fair and courteous manner under frequent interruptions
- Ability to problem solve, prioritize and exercise independent judgment
- Ability to work in a team
ESSENTIAL FUNCTIONS:
- Place food orders using vendor ordering platforms. Maintain inventory levels for the Food Services warehouse and coordinate deliveries to schools.
- Administers the Food Services program area of Skyward/Q for the purpose of entering and processing all free/reduced meal applications following USDA/OSPI rules and regulations.
- Download and track Direct Certification lists from EDS every two weeks; enter eligible students.
- Performs yearly verification process for the free and reduced-price meal program.
- Carry out beginning and end-of-year processes in Skyward/Q to support annual transitions.
- Possess knowledge of the USDA National school lunch and breakfast program.
- Work with food company vendors, sales and distributors.
- Maintain records, stocking, organizing and reordering or purchasing of supply items.
- Serve as liaison between food services staff, the business office, district technology and other departments as needed.
- Help coordinate support services site team activities; participate in site team meetings as required by supervisors.
- Track and process of all food service invoices for payment.
- Performs monthly billing of all snack programs and catering events.
- Manages procurement cards. Codes and files all invoices and receipts for card purchases.
- Track employee time off in Skyward system; ensure substitutes enter accurate electronic time sheets.
- Provide training and tech support to users of computerized POS within the department.
- Track student account deficits and coordinate with guardians to arrange payment.
- Process refunds of meal accounts for graduating or withdrawing students.
- Compile the necessary data for the SEBT/Sunbucks initiative and submit it through the designated portal.
- Prepare the summer mailer and manage its printing and distribution to families.
- Assess training needs of the department and make recommendations to supervisors.
- Performs other tasks, which may include, but are not limited to, word processing, answering phones, taking and distributing messages, composing and preparing correspondence, managing information and maintaining records.
- Maintain Food Service website.
- Performs other items as may be assigned by the supervisors.
