Job Summary
Provide administrative, operational, and front-facing support to the Talent Team. Coordinate onboarding documentation and employee record processes, manage HR communications, and oversee front desk operations. Serve as a primary point of contact for employees, applicants, and visitors while supporting efficient day-to-day Human Resources functions.
Essential Duties
Assist new hires with completing onboarding and new-hire paperwork, including capturing ID photos and creating employee badges.
Maintain accurate, organized, and confidential HR files and employee records, including I-9 compliance, audits, scanning documents, and processing status change forms.
Manage background checks and drug screens for applicants recommended for hire.
Maintain the front desk manual and ensure front desk operations run smoothly.
Monitor and manage the HR email inbox, responding to inquiries and routing information appropriately.
Process digital, verbal, and written communications, including mail distribution.
Maintain an organized filing system for new-hire documentation and other HR records.
Provide general clerical and administrative support to the HR department.
Demonstrate the ability to quickly establish rapport with individuals from all backgrounds and professional levels.
Exhibit strong attention to detail, excellent interpersonal skills, and the ability to manage competing priorities.
Work effectively and collaboratively in a team-based environment.
Perform any and all other duties as assigned.
Minimum Qualifications
High school diploma or GED Degree required.
One year of relevant experience.
Excellent verbal and written communication skills.
Strong interpersonal skills with the ability to manage sensitive and confidential situations with professionalism, tact, and diplomacy.
Exceptional organizational skills and attention to detail.
Proficiency with Microsoft Office Suite or related software.
Ability to quickly learn payroll management systems, HRIS platforms, onboarding software, and similar computer applications.
Preferred Qualifications
Associate degree in a related field or equivalent experience.
Experience with NEOED/NEOGOV and Ellucian Banner software.
Intermediate proficiency with Microsoft Outlook and Excel.
